The Office Coordinator is a full-time position in Mankato, MN with day time hours. Hours: Monday - Friday, 8:00am to 4:30pm.
The MFIP Office Coordinator position is responsible for providing programmatic and clerical support to the MFIP Employment Counselors and staff.
Essential Duties and Responsibilities:
Responsible for a complete working knowledge of the MFIP program.
Provides administrative support.
Prepares and maintains consumer files.
Issues and records vouchers for participant support and disseminates documentation and reports.
Monitors and documents consumer progress.
Performs clerical functions.
Arranges for cab rides, completes and processes all support vouchers, billings and invoices , and maintains numerous budget data bases.
Answers and directs phone calls, greets customers, copies paperwork and scans documents into EDS.
Purges/destroys old files following the DHS timetable.
Prepares and distributes reports in a timely manner; monthly and as requested by staff.
Serves as the Security Administrator II for Workforce One for SDA 20 (Blue Earth County) and SDA 61 (Steele County). Is responsible for managing the security access for all staff in our data region. Ensures the Data Privacy Laws and Policies regarding Workforce One at the regional level. Is responsible for approval or denial of user requests for access to Workforce One data based on legitimate business need an applicable laws and policies. Maintains user access request forms for verification and auditing purposes. Inactivates user access at time of employment termination.
Maintains the Workforce One system and entering of participant enrollment, activities, and outcomes in Blue Earth County.
Designs, creates, maintains and troubleshoots databases, spreadsheets and training staff with the proper use of databases and spreadsheets.
Creates and maintains various forms and brochures used by staff.
Provides back up for resume design for participants.
Responsible for the occasional development and implementation of curriculum for training/classes for participants, or assistance with training/classes.
Provides technical support to staff regarding computer issues/problems, including but not limited to: computer problems, printer problems. If problem requires outside intervention, contact is made to the appropriate IT staff at MRCI for resolution.
Orders all supplies for the office and keeps all orientation folders and other client packets processed and up to date.
A High school diploma is required.
At least two years' experience including administrative, clerical support and customer service.
Extensive experience with Microsoft Office products.
Must be able to maintain accurate records and have well-established reading and writing skills.
Possess excellent customer service skills and demonstrate ability to communicate effectively with others.
Must be able to work independently and follow directions.
