Job Description:

Position Summary:

The part-time Program Assistant will provide front-line and administrative support in the offices of the Career Center and Merit Awards. The Assistant provides excellent customer service to students, alumni, faculty, parents, and employers who contact the Career Center and OMA by phone, email, or in-person. The position works as part of a small team that ensures front-facing Career Center and OMA operations run smoothly and collaboratively. Other duties include promoting scholarship information sessions and workshops through social media and other ways, preparing materials and handouts, tracking award applicants, maintaining candidates' dossiers, and assisting the OMA's Associate Director with the Early Identification Program for outstanding sophomores.

Essential Functions:

  • Answer phone calls and emails directed to the Career Center and OMA, rerouting when appropriate.

  • Greet visitors (students, alumni, faculty, parents, and employers).

  • Schedule appointments for students and alumni with Career Center and OMA advisors.

  • Promote scholarship information sessions through social media.

  • Prepare OMA scholarship handouts and materials.

  • Maintain Merit Awards calendar and student dossiers.

  • Perform general administrative office duties (e.g. receiving mail, data entry, research, etc.).

Salary Range:

  • $18.00-$19.00/hour.

Educational Requirements:

  • Incoming or current AU student.

Minimum Requirements:

  • Highly organized with strong editing, writing and verbal communication skills.

  • Experience in a customer-service position.

  • The candidate should be able to greet students, faculty, and staff in-person, over the phone, and over email.

  • Dependable, detail oriented, willing to take initiative and experience using Microsoft programs.

  • Must be available 20-25 hrs/business week within the hours of 10-4.

Preferred Requirements:

  • Preference will be given to candidates who can commit to working more than one semester.

  • Knowledge of nationally competitive scholarships.

  • This position is ideal for a graduate student who has blocks of availability 4-5 days a week.
