A day in the life

The Merchandise Accounts Payable Assistant Manager is responsible for the day-to-day operations of the Merch AP Department. In addition to general management functions, such as supervision, staffing, coaching, timely reporting and goal setting, the assistant manager is involved in setting corporate procedure and working closely with Accounting, Inventory Accounting, and Treasury.

  • Support the business by providing a variety of specialized services by supervising the day-to-day operations of the Merch AP Department

  • Assist in enhancing department vision and strategies to support company goals

  • Develop, evolve and execute business processes to support the department

  • Ensure department operational goals are achieved, including meeting service levels on a consistent basis and keeping backlogs to a minimum

  • Ensure adequate controls and proper segregation of duties are in place and documented for all aspects of the department, new procedures, etc.

  • Complete special projects by clarifying plans and objectives and ensuring timely delivery as assigned by the manager

  • Hire, train, develop, coach and supervise an efficient team

  • Leverage strong analytical and financial skills to drive results

  • Deliver exemplary customer service through strong ownership and professionalism

  • Demonstrate a commitment to teamwork through relationship building and collaboration

  • Deliver productivity through time efficiency and a commitment to strong results

  • Heavy involvement in AP project implementations

You own this if you have

  • Finance degree and advanced/expert skill in Accounts Payable functions, or 3-4 years equivalent training or job related work experience

  • Two years minimum supervisory or lead experience

  • Proficiency with Microsoft Office Suite required

  • Proficiency with RMS, Oracle and Discoverer a plus

  • Excellent written and verbal communications skills

  • Ability to lead and motivate direct reports and skilled in building positive relationships

  • Excellent analytical, research, problem solving skills, and ability to translate ideas into action

  • Ability to manage projects, complete multiple tasks with a sense of urgency and consistently achieve results

  • Ability to be flexible with work schedule according to department needs

  • Ability to have strong ownership through initiative, creativity, follow through, accountability and commitment

  • Experience communicating productively with all internal and external department customers with adequate follow-up

  • Experience demonstrating "one company" mindset

Responsibilities: * Maintain solid, meaningful relationships with vendors, customers and fellow employees to help facilitate accurate accounting processes. * Assist with escalations of research and issue resolutions. * Managing the daily workload as a member of the A/P team while still providing guidance to a teammate. * Review all invoices to ensure appropriate coding, matching, support, and approval. * Oversee the process of weekly A/P invoice batches and check runs, ensuring transactions are timely and accurate and that expenses are accurately coded and allocated. * Maintain A/P process documentation * Manage accounting functions including maintenance of general ledger, accounts payable, prepaids, uninvoiced receipts, and project accounting; ensuring accuracy and timeliness. * Must be able to handle high volume workload from various departments and tight month-end close timelines. * Pull invoices that are due for weekly check runs, Wire and ACH payments. * Process Wire and ACH payments when required. * Enter manual payments into the system. * Resolve complex issues with our partners. * Review Pospay daily * Annual 1099 Processing * Review and manage unclaimed property * Prepare and complete journal entries as needed * Prepare monthly AP accruals * Reconcile various accounts in the G/L. What you Bring: * Hands-on, roll up your sleeve type of spirit. * 4-6 years of relevant experience in accounts payable, including 1 year in a lead position. * Bachelor's degree in accounting or equivalent experience preferred. * Detailed oriented, including reconciliation skills, and organized with the ability to handle high volume processing. * Ability to prioritize tasks, work efficiently and maintain discipline in order to meet deadlines. * Strong computer skills, including Microsoft Excel. * Navision experience a plus * Excellent communication skills and a strong customer service orientation.
