Position Title: SAMHSA (Substance Abuse and Mental Health Administration) Mental Health

Grant Coordinator

Department: Wellness Center

Reports To: Director of Wellness Center and Health Promotion

Work Schedule Term: Year-round

Shift: 40 hours to be worked per week Monday

  • Friday, 8:00 am

  • 5:00 pm; variations to this

schedule, or flexible work arrangements, can be proposed and are subject to approval by HR

and relevant supervisors.

● Travel up 3-5 days to the National Conference overnight trip

● Occasional evenings and weekend hours

Grant duration: Jan. 1, 2023, Sept 29, 2026

Purpose: This position is responsible for coordinating the Mental Health Awareness and

Training grant on the St. Olaf Campus in alignment with the Project Director. The goal is to

increase mental health awareness of early warning signs and resources on campus, and is

accomplished through marketing and training for students, staff, faculty and parents of current

students at St. Olaf College.

Essential Job Duties: The SAMHSA Mental Health Grant Coordinator is responsible for

managing the grant's lifecycle. This role executes pre- and post-award grant processes to

ensure compliance with organizational and financial policies. The top priority of this position is to

ensure the organization remains compliant with all grantor requirements. This role works on a

variety of campus-wide initiatives that range from simple to complex.

Pre-award responsibilities include the coordination and review of grant proposals. This position

serves as a resource for staff and ensures grant proposals are developed and submitted

following grantor and organizational processes. Post-award responsibilities include coordinating

implementation of grant strategies, grant reporting and monitoring activities as well as ensuring

compliance and accountability of funds. This role requires close communication with the Project

Director, the Director of Government, Foundation, and Corporate Relations at St. Olaf College,

the grant finance staff and the Dean of Students for Health and Wellbeing.

Responsibilities

Pre-Award/Award Modifications Processes

● Exhibit outstanding attention to detail when reviewing grant documents and budgets,

examining them for completeness and accuracy and their adherence to policy; provide

appropriate approvals to enable smooth and prompt processing.

● Coordinate grant budget development between program and finance staff.

● Read federal SAMHSA Notice of Award guidelines and compliance requirements for

internal application checklists for the program and fiscal staff to use when applying.

● Enter grant application data into the grant management database, called SAMHSA's

Performance Accountability and Reporting System (SPARS).

● Track application due dates and award notification dates on the grants calendar.

Post-Award

● Oversee the delivery and tracking of grant agreements and amendments, including

requests for internal reviews and revisions.

● Collaborate closely with the Grant Finance Department to submit grant expenditure

requests.

● Coordinate response to funder requests for information (for example: reporting, audits,

and monitoring reviews) to ensure all information is gathered across departments and

submitted on time.

● Provide program and finance staff with grant reporting requirements and ensure all grant

reports are submitted at least one day ahead of the stated deadline.

● Create and update SAMHSA Performance Metric documents.

● Schedule and attend bi-annual grant management meetings with the Project Director,

the Director of Government, Foundation, and Corporate Relations at St. Olaf College

and the grant finance staff for all SAMHSA grants and ensure meeting documentation

and follow-up are kept.

● Ensure proper documentation of grant requirements is retained according to record

retention policy.

● Enter and maintain grant data in the grant management database, ERA Commons.

● Research and apply for additional funding sources to ensure the sustainability of the

initiatives outlined in the grant implementation plan.

Grant Compliance

● Ensures compliance with all laws, ordinances, rules, regulations, standards, and policies

and procedures, grant terms and conditions, and Uniform Guidance.

● Create Grant Info Sheets from grant agreements or contracts. Share with appropriate

departments to ensure grant compliance requirements are implemented.

● Participate in monthly grant meetings and office hours between SAMHSA program staff

to ensure open channels of communication about grant procedures and updates.

Public Health and Wellness Responsibilities

● Participate in state and national conferences to pursue ongoing education pertinent to

grant objectives.

● Collaborate on the formulation of the Wellness Center's Strategic Plan, with a special

focus on mental health concerns of students, faculty, and staff.

● Utilize a Public Health Framework to research, establish, and carry out data-driven best

practices.

● Gather, analyze and present data regarding Wellness Center initiatives and mental

health training.

● Provide effective oversight, guidance, and advice to the Certified Mental Health Peer

Educator Team while adhering to the best practices and ethical principles in the field.

● Responsible for assisting the Wellness Center Director with various tasks as assigned,

which may include but are not limited to, developing and implementing policies and

procedures, conducting assessments and collaborating with stakeholders.

● Demonstrate a sound understanding of the theoretical and practical aspects of mental

health education and counseling, and possess strong interpersonal and communication

skills to effectively interact with diverse groups of individuals.

Qualifications

Minimum Education

● Bachelor's degree in Public Health, Education, Grant Management, or a similar field

Preferred Education and Certifications

● Master's Degree in Public Health, Higher Education, Grant Management, or similar field

● Mental Health First Aid Instructor Certification

● QPR Instructor Certification

Minimum Experience

● 3+ years of experience in an educational or non-profit setting

● Previous grant and contract experience desired

● Proven interpersonal skills including the ability to build relationships, solve problems,

manage conflict, and exercise sound judgment.

● Ability to structure and prioritize tasks, projects, and deadlines in a fast-paced evolving

environment.

● Ability to set, meet, and manage goals and deadlines.

● Ability to work effectively in collaboration with diverse groups of people.

● Commitment to develop equity skills and cultural competence.

● Proven initiative, problem-solving, and critical thinking skills. Ability to work

independently.

● Experience working with diverse communities and commitment to supporting all

members enrolled in our programs.

● Strong technology skills. Ability to utilize video conferencing effectively. Ability to

troubleshoot technology issues and identify solutions to technology challenges.

● Experience with Google and MS Office Suite

This position requires the ability to:

● Travel locally and statewide as needed to attend meetings

● Communicate effectively with people/groups in multiple settings within and outside the

organization

● Effectively utilize existing and emerging technology to achieve the required results

● Transporting of moderately heavy objects up to 25 pounds

Prerequisites:

Employment in this position is conditioned upon successful completion of a background check,

which may include criminal background checks, reference checks, verification of work history,

verification of any required academic credentials, licenses, and/or certifications, a motor vehicle

check, verification of a DOT certification, a credit check, employment eligibility verification,

and/or a pre-employment physical. Whether a background check is deemed completed will be

at the sole discretion of St. Olaf College.
