Title: Member Services Coordinator Reports to:
Director, Member Services & Events Supervises: None JOB PURPOSE: Welcome all guests to the facility.
Operate front desk, support multiple departments including but not limited to Food and Beverage, Administration, Golf and Recreation.
Will work Saturdays or Sundays and every major Holiday.
JOB SUMMARY (ESSENTIAL FUNCTIONS) KNOWLEDGE/SKILLS/ABILITIES:
Greets members and guests.
Operates telephone switchboard; answers, transfers calls, takes messages for members and staff.
Provides schedule and other club information to members and guests.
Prints daily menu specials.
Sorts and distributes incoming mail and handles postage and collection of outgoing mail.
Maintains supply of facility information for members.
Fulfills members requests (for example, places phone calls and holds letters or packages). Performs on- or off-site errands.
Works on special projects as assigned.
Maintains supply inventories.
Reports presence of unauthorized visitors in or around facility.
Performs other duties required by the manager on duty.
Enforces attire guidelines.
Operates front desk, lobby and/or other areas.
Manages reservations for both Club events and lunch/dinner.
Greets job applicants and hands out applications to prospective applicants.
Controls traffic flow in lobby and reception area.
Maintains appearance of reception area.
Manages a lost and found program; tag and log all lost and found items.
Creates Daily Report with schedule of events and other pertinent information; emails and posts report at days end.
Communicates any maintenance issues for repair.
Maintains the Concierge/Member Plus program, which includes, overseeing the dry-cleaning service, billing and distribution of ski tickets and other discounted tickets offered to members, and billing/handling of FedEx services.
Works with Golf, Tennis, Fitness, Club Events in managing and creating Club Event marketing materials; digital and print.
Create, maintain and close online registration for events.
Updates and maintain all Club events calendar and information in Clubs management software program and Club website.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT: Must be able to lift 20 lbs, as well as sit for extended periods of time.
Frequent sitting, standing, walking, lifting, bending, stooping, and squatting.
EDUCATION and/or EXPERIENCE: BS Degree or equivalent experience Proficient in Microsoft Office, Adobe Photo Shop, and internet search engines.
Able to learn a new data base quickly.
Produce well thought out, professional correspondence free of grammatical and spelling errors.
Demonstrable experience of providing excellent customer service.
Organizational skills and attention to detail a must.
Excellent verbal and written communication skills.
WORK SCHEDULE/HOURS: Tuesday Friday 9:30am to 6:30pm and Saturday 10:00am - 4:00pm Must be flexible if needed for occasional work outside of normal business hours This job description in no way states or implies that these are the only duties to be performed by the employee in this position.
