We are seeking a dynamic and highly organized Meeting Coordinator to join our team. The successful candidate will be responsible for planning and coordinating both onsite and offsite meetings, large and small, ensuring that every detail is meticulously executed to provide an exceptional experience for our clients, partners, and employees. From location selection to managing activities, catering, AV needs, transportation, and all logistics, the Meeting Planner/Coordinator will play a pivotal role in ensuring the success of our meetings and events.
Responsibilities:
Collaborate with internal stakeholders to understand meeting objectives and requirements.
Research and recommend suitable venues for meetings, considering factors such as location, capacity, amenities, and budget.
Negotiate contracts with venues and vendors to secure the best possible rates and terms.
Coordinate all logistical aspects of meetings, including room setup, audiovisual equipment, signage, and transportation.
Develop and manage detailed event timelines and schedules to ensure seamless execution.
Plan and oversee catering services, including menu selection and dietary accommodations.
Organize team-building activities and entertainment options to enhance the meeting experience.
Serve as the primary point of contact for attendees, addressing any questions or concerns before, during, and after the event.
Manage event budgets, tracking expenses and ensuring adherence to financial guidelines.
Evaluate the success of meetings and events through attendee feedback and post-event analysis, identifying areas for improvement and implementing enhancements for future events.
Strengthen relationships with external partners by coordinating their involvement in events as relevant.
Manage corporate travel platform by acting as a resources for employees and maintaining a global view of CoreWeave team events and travels.
Qualifications:
Bachelor's degree in Hospitality Management, Event Planning, or related field preferred.
2-3 years of proven experience in meeting and event planning, preferably in a corporate setting.
Strong organizational skills with the ability to manage multiple projects simultaneously.
Excellent communication and interpersonal skills, with a customer-centric approach.
Detail-oriented mindset with a focus on delivering high-quality results.
Proficiency in Microsoft Office Suite
Ability to work independently and collaboratively in a fast-paced environment.
Flexibility to work outside of regular business hours as needed to support events.
Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from 65,000/year in our lowest geographic market up to 90,000/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience.
Hybrid Workplace
Successful candidates will be expected to attend onboarding training at our NJ Headquarters within their first several weeks of employment, with subsequent quarterly travel requirements of 1 week duration.
