Administrative Duties and Responsibilities:

  • Answer and transfer telephone calls.

  • Schedule and register patients for appointments/procedures, confirm appointments/procedures, prepare for patient visit by providing patient with all necessary information and completing all necessary tasks.

  • Receive patient at arrival, verify and obtain all necessary information, and ensure forms are completed.

  • Ensure all billing/fiscal information is completed and submitted after visit, including collection and daily reconciliation of any co-payments.

  • Assist with special projects as directed.

  • Assist with training and orienting staff as needed

  • Follow HIPAA guidelines for the management of patient privacy and confidentiality.

  • Appropriately utilizes organizational resources including management of time, supplies, equipment and other assets.

  • Technical Skills/Competencies Required:

  • Clinical Skills:

  • Knowledge of practice operations and standards.

  • Beginning to intermediate knowledge and use of medical terminology.

  • Ability to accurately perform vital signs and obtain pertinent health information including but not limited to; temperature, pulse, respirations, blood pressure, height, and weight.

  • Ability to participate in the medication reconciliation processes and related prescription management tasks, including prior authorizations.

  • Knowledge and ability to perform specific procedures and tests as appropriate to the clinical setting.

  • Communication skills: Demonstrates effective oral and written communication skills in English. Communicates in a professional, courteous, clear and concise manner. Facilitates therapeutic relationships between patients, families and other members of the health care team.

  • Writing Skills:
    Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note, documentation of patient information) and to take complete and accurate messages.

  • Phone skills: Ability to telephonically support the practice by answering and screening calls, offering information within scope of practice to facilitate communication.

  • Organization Skills:
    Ability to manage work processes in a neat and systematic way. Ability to manage multiple tasks effectively, appropriately prioritize clinical work, follow established policies, procedures and clinical practice guidelines, workflows,

  • Technology Skills:
    Demonstrates ability to utilize technology in the clinical setting. Includes basic computer skills as well as the utilization of electronic medical equipment. Ability to type accurately and enter data at an intermediate level. Ability to become proficient in using the EHR and other appropriate applications. Ability to utilize hand-held technology and download related data to the electronic health record.

Other duties as assigned.

Experience in healthcare setting preferred.


Graduate of an accredited Medical Assistant Certificate Program

VIEW JOBS 2/16/2020 12:00:00 AM 2020-05-16T00:00 Established in 2005 as a joint initiative of Harvard Medical School (HMS) and the Harvard School of Public Health (HSPH), CSPH's mission is to advance the science of surgical care delivery by studying effectiveness, equity, and value at the health system and population levels, to inform policy, and to provide support for faculty and trainees committed to excellence in surgical health services research (HSR). CSPH's expertise in HSR also informs its work in addressing the burden of surgical disease in lower and middle income countries and resource-limited settings. CSPH seeks a coordinator to facilitate CSPH projects, events, and communications as well as support the Center's administrative activities as they relate to research and faculty development initiatives. This position will report to Administrative Director of the CSPH. Multi-tasking, effective communication and organizational skills are critical to this position. DUTIES AND RESPONSIBILITIES: * Monitors and pays expenses relating to CSPH research budgets including travel reimbursements, research expenses, etc. * Manages appointments and calendar for Kessler Director * Purchases research project supplies including computer, software and data resources. Ensures items are ordered and received per compliance and research timelines. * Coordinates activities between Harvard School of Public Health, Department of Surgery, and CSPH's network of collaborators. Acts as a resource for personnel. * Assists with scheduling meetings for Administrative Director and Core Faculty; handles incoming phone calls and inquiries, able to prioritize multiple competing priorities * Supports preparation of materials, including presentations and meeting minutes, for meetings and other CSPH forums and events, as well as manage AV set up. * Develops/updates content for Web site and other outreach materials. * Coordinates and schedules travel arrangements, written correspondence on behalf of Kessler director * Provides recommendation letters for internal and external faculty. * Supports development of grant related materials, including biosketches, letters of intent, and research abstracts * Coordinates library searches for Center faculty and project managers. * Coordinates activities supporting CSPH Fellowship programs and sponsored staff appointments * Coordinates weekly and monthly Faculty and Fellows Research Development Events * Coordinates special projects as assigned by the Director or Administrative Director REPORTING RELATIONSHIPS: Reports directly to the CSPH Kessler Director and Administrative Director QUALIFICATIONS: * High school diploma required (Bachelors degree in Business Management, Healthcare Administration or related degree strongly preferred) * 3 years experience working in an administrative or clerical role, at least 2 of which were within a medical setting (required) * Executive presence, professional discretion, ability to represent the Center at all times, provide exceptional customer service over the phone, in person, and through email * Excellent interpersonal and communication skills, both written and verbal required- ability to confidentially manage internal/external communications * Excellent organizational skill and ability to manage deadlines and relate to all levels of personnel in a collaborative manner. * Ability to problem solve: trouble-shoot a variety of administrative situations and computer functions * Ability to work independently and take initiative on following up on unfinished tasks, anticipate impact to other work streams and team members * Ability to set priorities; work with diplomacy and efficiency in a dynamic environment * Exceptional time management skills required * Computer expertise in Microsoft Word, Excel and other software Brigham And Women's Hospital Boston MA
