Department Overview

The Department of Medicine at OHSU is involved in education, research and patient care. Our 10 divisions are involved in everything from General Internal Medicine to sub-specialty care in various disciplines. We currently have 313 clinical faculty, 45 research faculty, more than 300 volunteer faculty, over 200 house staff (residents, clinical and research fellows) and numerous staff. More than 500 medical students rotate through our department annually.

Function/Duties of Position

The Internal Medicine Student Program Technician is responsible for operational administration of the

Student Education Program for the Department of Medicine (DOM), averaging a total of 500 second, thirdand fourth year students annually.

This position serves as the liaison for the DOM with regard to the School of Medicine (SOM) UndergraduateMedical Education (UME) program and provides technical support for the Student Education Program. Itrequires a thorough and detailed knowledge of national accreditation policies, federal student privacy laws,hospital and institutional policies, as well as a high degree of initiative, independent judgment, problemsolving, and accuracy, in addition to well-developed analytical, technical, and mathematical abilities, andstrong collaborative skills.

With direct oversight and direction from the Student Education Course Directors and Vice-Chair for Educationand supervision by the Educational Programs Manager, this position collaboratively develops andimplements student education curricula. Provides technical oversight and management of various softwarefor the purpose of evaluating and grading medical student performance, data tracking, and statisticalreporting. Ensures compliance with requirements of the applicable accrediting bodies and the OHSU Schoolof Medicine UME program.

This role is integral to the student experience, compliance and function of the SOM Internal Medicine curriculum, educational innovation and management of tracking systems, statistical reporting, and the grading process for Internal Medicine student courses, both required and elective. The person in this position must be able to evaluate feedback, possess a high level of understanding of technology, and should be a self-starter with the ability to function independently, yet distinguish when faculty or supervisors need to be involved. An ability to communicate effectively in a professional manner, both written and verbally, is essential. A high degree of confidentiality is required.

Required Qualifications

  • Three years of experience administering or coordinating parts or subsets of a project or program.

  • A Bachelor's degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of required experience.

  • Previous experience in an educational/academic environment.

  • Advanced Microsoft Excel, Word, and database management skills.

  • Previous experience with audio/visual equipment (such as videotaping sessions and uploading to Sakai).

  • Experience and proficiency with online

  • scheduling and evaluation systems for medical education purposes.

  • Ability to disseminate policies and procedures, analyze processes, and provide suggestions for improvement.

  • Must possess ability to be firm, yet maintain sensitivity, tact, and diplomacy in speaking to students, faculty, and preceptors.

  • Ability to take initiative and work well independently, in an open office environment with multiple interruptions.

  • Proven record of strong timemanagement abilities with excellent prioritization and multi-tasking skills.

  • A strong attention to detail and an organized work environment.

  • Comfort with making independent decisions.

  • Requires significant writing proficiency, which must include proficient skills and hands-on experience with distance learning systems such as Polycom, Adobe Connect, and curriculum platforms such as E*Value and Sakai.

  • Ability to work well with staff on all levels and cohesively as part of a team.

Preferred Qualifications

  • Bachelor's Degree with two (2) years of relevant experience coordinating an educational program.

  • Minimum one year of experience with lead coordination of educational projects and/or programs.

  • Prior experience with course evaluation for compliance and effectiveness.

  • Advanced experience with medical education reporting software (i.e., E*Value or MedHub)

  • Prior experience as a clerkship/clinical experiences or residency coordinator.

  • Advanced knowledge of the Family Educational Rights and Privacy Act (FERPA)
