The Medical Records Manager assists in the maintenance of clinical records which accurately reflect resident care and condition, and which comply with state and federal regulations.
Prepares clinical record for admission, collecting information from nursing staff, physicians, and other sources and updates records including, but not limited to, Master Resident Index, Resident Face Sheet, Physician Orders, MDS, and Care Plan and Flow Sheets.
Responsible for updating physician orders on a monthly basis and submits to nursing for review.
Responsible for updating the MDS and care plan at least quarterly, preparing monthly flow sheets and submit to nursing for review.
Monitors and audits records for completeness and accuracy in accordance with facility policy and regulation and prepares and submits audit reports to administrator and director of nursing services.
Processes and files incoming and outgoing mail from physicians, hospitals, agencies, and other health care entities.
Copies clinical records and sends according to policy and regulation.
Processes and maintains discharge and transfer records according to policy and regulation.
Responsible for identifying, recording, and maintaining an index of resident diagnostic codes.
Participates in utilization review committee meetings.
Responsible for keeping the work area in a clean, safe, and orderly manner.
Responsible for following facility fire safety, infection control, and hazardous chemical procedures and for promptly reporting any unsafe conditions or equipment problems.
Assists in the preparation of the department budget and responsible for operating within established budget, including labor and supply costs.
Responsible for ordering all supplies and maintaining an adequate inventory of forms.
Greets residents, visitors, and staff courteously, respecting dignity and confidentiality standards and promote resident rights.
Participates and attends training sessions, in-service meetings, and other staff meetings as requested.
Performs other related duties as assigned.
Associate Degree and a minimum of 1 year working in geriatric medical record keeping, and experience with nursing delivery systems.
Must have medical records experience.
Excellent written and oral communication skills are essential to success.
Ability to creatively problem and be a team player, well organized, and flexible.
Experience with budgets and record-keeping.
