SCOPE:

Assists the Office Manager in overseeing daily operations of the medical records department. Provides leadership and support to Medical Record Technicians. May orient, train, and assign the work of lower level employees. Assists the Office Manager in supervising and coordinating activities related to medical records. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists in supervision of Medical Record Technicians. Provides leadership and guidance to the medical records department.

  • Coordinates daily work assignments for Medical Record Technicians.

  • Manages payroll functions (time approvals, time off etc.)

  • Orients and trains new Medical Record Technicians and provides input into performance appraisals.

  • Assists in monitoring the production standards for the department. Assists in monitoring and resolving department problems with appropriate administrators.

  • Understands and complies with policies and procedures related to medicolegal matters, including confidentiality, amendment of medical records, release of information, patients' rights, medical records as legal evidence, informed consent, etc.

  • Reviews medical record releases before records are released.

  • Conducts chart audits

  • Manages message queries in G-2

  • Performs all functions of the Medical Records department when necessary.

  • Prepares patient records for scheduled appointments in advance according to guidelines.

  • Copies, mails, and/or faxes patient chart information as requested and authorized.

  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/corporation.

  • Prepares correspondence, memos, forms and other typing as requested by Office Manager.

  • Recognizes and reports unusual circumstances and/or information with possible risk factors to Office Manager.

MINIMUM QUALIFICATIONS:

High school diploma or equivalent. Minimum of five years' office experience, preferably in medical records or a medical office setting.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work may require sitting for long periods of time; also, stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods of time.

As a Medical Records Specialist, you will be responsible for receiving electronic faxes, scanning documents, and uploading files into the electronic medical records system, Homecare Homebase. Hours: Monday - Friday, 8:00am - 5:00pm Location: 5115 Bernard Drive, Roanoke, VA 24018 * Process signed and unsigned Orders and 485s. * Follow up on the "Sent But Not Signed Orders" on a daily basis. * Reprocess unsigned orders at End of Episode as task appears on Workflow Screen. * Verify Physician's signature and date stamp all received documents to be scanned into the client chart. * Verify Electronic Service Agreement is signed. * Send the Episode Detail Report at recertification. * Fax the discharge / transfer summary / episode detail summary and Case Conference / 60 Day Summary to the physician. Human Resources - * Process and maintain Human Resources documentation. * Conduct new hire orientation for all new employees. * Process payroll and mileage analysis reports for employees. Qualifications The right person for this role will be outgoing, have a positive attitude, and have exceptional multitasking skills. * Minimum of 6 months of medical records experience in a clinic, hospital, or home health setting. * Previous experience working with an EMR system is strongly preferred. * Experience working with Homecare Homebase (HCHB) is a plus. * Experience working with Sfax is a plus. * Must possess a high school diploma or equivalent. * Excellent customer service skills. * Advanced typing and computer skills.
