Assists the Office Manager in overseeing daily operations of the medical records department. Provides leadership and support to Medical Record Technicians. May orient, train, and assign the work of lower level employees. Assists the Office Manager in supervising and coordinating activities related to medical records. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.


  • Assists in supervision of Medical Record Technicians. Provides leadership and guidance to the medical records department.

  • Coordinates daily work assignments for Medical Record Technicians.

  • Manages payroll functions (time approvals, time off etc.)

  • Orients and trains new Medical Record Technicians and provides input into performance appraisals.

  • Assists in monitoring the production standards for the department. Assists in monitoring and resolving department problems with appropriate administrators.

  • Understands and complies with policies and procedures related to medicolegal matters, including confidentiality, amendment of medical records, release of information, patients' rights, medical records as legal evidence, informed consent, etc.

  • Reviews medical record releases before records are released.

  • Conducts chart audits

  • Manages message queries in G-2

  • Performs all functions of the Medical Records department when necessary.

  • Prepares patient records for scheduled appointments in advance according to guidelines.

  • Copies, mails, and/or faxes patient chart information as requested and authorized.

  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/corporation.

  • Prepares correspondence, memos, forms and other typing as requested by Office Manager.

  • Recognizes and reports unusual circumstances and/or information with possible risk factors to Office Manager.


High school diploma or equivalent. Minimum of five years' office experience, preferably in medical records or a medical office setting.

Work may require sitting for long periods of time; also, stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods of time.
