What we are looking for:

The Medical Records Coordinator is responsible for managing all aspects of Medical Records collection, organization, management, tracking and returns in a fast paced, professional environment. The Coordinator contacts and builds relationships with external physicians' offices, imaging and medical facilities for medical records, tracks and sorts incoming information, organizes the records within each case and ensures quality and timeliness of case completion. Records pertinent to case management come in many forms including physician dictated clinic doctors' notes, image studies (x-rays, EGK, MRI/CT) x-rays and pathology slides all which need to be sorted, verified, uploaded, reviewed and in some cases, returned.

What you will do:

  • Coordinate and oversee the collection and administration of medical records and related information from doctors' offices, hospitals and facilities

  • Work directly with clinical staff (RN's & MD's) to facilitate and expedite cases

  • Develop and maintain relationships with medical record facilities

  • Think creatively to prevent and mitigate case delays, influence external entities to secure medical records and files

  • Ensure timely and accurate follow-up of all assigned cases and facilities

  • Document case information timely, clearly and concisely

  • Ensure all casework and processes (Medical Records, Imaging and Specimen Samples) follow HIPAA compliant protocols with all parties encountered throughout the process

  • Ensure the highest quality and timeliness for outgoing Expert Opinion reports and communications

  • Maintain filing and storage systems as required for electronic and CDs and physical records

  • Other duties, as needed

Requirements:

  • Minimum of 2 years college required

  • 3 to 4 years' experience in fast paced office setting, clinical office/hospital is a PLUS

  • General understanding of medical terminology preferred

  • Proven track record of meeting deadline-oriented tasks

  • Proficient in technology including software programs such as Microsoft Word, Outlook & Excel

  • Experience with medical imaging software helpful but not required

  • Exceptional ability to focus on issue resolution in order to drive efficiencies

  • Excellent verbal, written and telephonic communication skills with the ability to explain concepts in a clear and articulate manner

  • Ability to influence others to achieve a positive result

  • Ability to multi-task and possess excellent organization and time management skills

  • Superior problem-solving skills with ability to make decisions confidently when information or guidelines are lacking

  • Ability to work independently and collaboratively as part of a team

  • Demonstrated ability to manage multiple, competing priorities

  • Comfortable recommending process changes to better achieve better experience for members

VIEW JOBS 1/17/2020 12:00:00 AM 2020-04-16T00:00 The Executive Office of Health and Human Services (EOHHS) is seeking a dynamic individual to provide customer support to EOHHS agencies statewide as well as to support a fast-paced mailroom and receiving unit in Boston. The role is client facing and our applicant must be able to exhibit exceptional customer service and communication skills. Various duties to include, but are not limited to: receiving and sorting incoming mail and packages to be distributed to various departments, assisting the unit with office moves, and providing daily operational support. Duties and Responsibilities (these duties are a general summary and not all inclusive): * Help with agency office moves, both internal and statewide, including but not limited to creating and tracking inventories, guiding and instructing professional movers during a project, and actively participating in small moves within EOHHS offices * Oversee installation or disassembly of modular furniture as per agency requests * Support mailroom operations at 600 Washington St (and at Quincy if needed), including but not limited to sorting, tracking, distributing, and securing incoming mail, including packages * Accept deliveries and operate mail machine to determine postage rates, and maintain postage records * Assist with daily service requests including photocopies, furniture and office moves, equipment and free-standing furniture inventory, installation, repair and other logistical tasks * Assist the unit in maintaining, distributing, and replenishing inventory of office supplies within the mailroom and for individual staff * Provide support to the agencies during emergency evacuation procedures * Troubleshoot issues with office equipment (i.e. copiers, fax machines, and printers); inform supervisor when equipment is not working and/or is in need of repair * Assure daily maintenance of appearance, cleanliness, and organization of the mailroom * Perform other related job duties as assigned by supervisor. * Communicate effectively both in-person, over the phone, and by written correspondence to agency senior staff, other EOHHS employees, landlords, and vendors * Provide ongoing administrative assistance and other projects as needed Preferred Qualifications: * Capacity to operate copiers, fax machines and other office equipment * Ability to accurately read, identify and sort addressed items * Demonstrated ability to work collaboratively with a wide variety of staff, vendors, and others, always demonstrating personal initiative as well as the ability to work well in a team * Competency in performing multiple functional tasks * Knowledge of or ability to learn USPS and other carrier guidelines for mail procedures * Valid driver's license is required Physical Demands: * Lifting/carrying up to 50 lbs. and equipment operation Pre-Hire Process: A criminal background check will be completed on the recommended candidate as required by the regulations set forth by the Executive Office of Health and Human Services prior to the candidate being hired.
