Job Summary

Molina's HEDIS/Quality Improvement Medical Records Collector will work collaboratively in outreaching to providers in order to pursue medical records via phone call, fax, mail, electronic medical record system retrieval and direct onsite pick up, for the HEDIS projects.


  • Under the direction of the national and/or regional lead, the Medical Records Collector supports the annual HEDIS audit and other HEDIS like audits, by organizing provider outreach, pursuit, collection and upload of provider medical records into the internal database.

  • Assisting with project management by coordinating the identification, pursuit and collection of medical records and other data in collaboration with other HEDIS staff.

  • Assists the Manager and Supervisor(s) and / or performs the coordination and preparation of the HEDIS medical record collection process that includes the pursuit via phone call, fax, mail, electronic medical record system retrieval and direct onsite pick up.

  • Participates in meetings with vendors for the medical record collection process.

  • Collects medical records and reports from provider offices, loads data into the HEDIS application.

Job Qualifications

Required Education

High School Diploma or equivalent

Required Experience
1 season/year medical record collection experience.

  • 1 year managed care experience.

  • Basic knowledge of HEDIS and NCQA.

Preferred Experience
2 years HEDIS data collection experience.

Preferred License, Certification, Association

Certified Medical Record Technician

This position shall be filled in accordance with the provision of the OCSEA/AFSCME Collective Bargaining Agreement. This is an internal posting for ODRC employees and OMHAS DRC Recovery Services employees only. External applicants will not be considered. This position works under general supervision and requires considerable knowledge of records management in order to review inmate records to ensure compliance with sex offender registration laws and DNA testing requirements; operates law enforcement computer systems (e.g., law enforcement automated data system (LEADS) and Offender Watch and computer terminals to receive and transmit confidential information); researches LEADS for pending warrants and detainers; advises inmates of pending detainers and prepares necessary documentation for speedy trial when requested in accordance with Interstate Agreement on Detainers (IAD) and/or Ohio Revised Code; authorizes release of inmates to temporary custody of local courts and out-of-state agencies under IAD; utilizes Out to Court Management system; serves as liaison between institution staff and law enforcement to schedule transports for court hearings. Job Duties: * Maintains and updates inmate records by scanning information to Onbase document management system * Enters information into DOTSPortal as needed * Enters appropriate status and reason codes into DOTSPortal; maintains correspondence with other agencies and responds to inmate inquiries; completes other record office functions as assigned * Attends meetings, trainings and conferences * May give presentations and conduct training * Responds both verbally and in writing to questions and concerns Formal education in arithmetic that includes addition, subtraction, multiplication, division, fractions, decimals & percentages & in reading, writing & speaking common English vocabulary; 1 course or 3 mos. exp. in records management (e.g., record retention, document management, confidentiality). * Or equivalent of Minimum Class Qualifications For Employment noted above.
