The primary role of the Medical Receptionist is to get patients to come into the office by warmly connecting with them over the phone, gathering all necessary information to set up the clinic for a successful appointment with the patient and to educate the patient on what to expect during their time at the office. Then, warmly connect with the patient during their time spent in the reception area. In addition, the Medical Receptionist must effectively, professionally and with a warm demeanor triage incoming phone calls from existing patients and other organizations regarding patients ongoing care to ensure appropriate, timely response and resolution to the incoming caller's needs. Some key duties associated with getting patients in and connecting with them include: excellent telephone skills and greeting guests in a professional, timely, friendly and hospitable manner. The receptionist should demonstrate a warm and approachable disposition to each patient (on the phone and in-person) providing the best possible "first impression" of the medical office, while scheduling in such a way to keep the clinicians schedules productive, data gathering, verifying insurance, accurate data entry and appropriate patient preparation and education to ensure everyone is setup for success and the Perfect Patient Experience. Responsibilities Ensure office success by getting patients into the office through excellent telephone skills while acquiring and accurately documenting all data necessary to ensure the patient has the Perfect Patient Experience Interact with individuals in the reception area during their wait time and greets visitors promptly and courteously, using eye contact upon their arrival at the clinic Responds timely and efficiently to all voicemails received Appropriate documentation of messages and needs from incoming calls to be triaged to other medical staff for resolution and oversight of these messages distributed to ensure every message is responded to, documented accordingly and resolved to the highest standards Manages the clinician's schedules in scheduling software system to ensure productivity and effective patient experience Answers phones and assists walk in patients, consistently providing timely and accurate information to patients, clinicians, organization personnel, and public sector to achieve the highest possible level of satisfaction Patient appointment scheduling, placing calls to patients who need appointment notification or reminders, including time, date and address/directions to the clinic Assists in monitoring prescriptions, insurance coverage and any other related paperwork Responsible for the components for admission (i.e. obtain charts/records, insurance verification, treatment authorization, etc.) Properly and efficiently utilize patient account software and maintain accuracy in records related to patient financials and personal information Communicates effectively with team regarding changes in schedule, patient issues and clinician/office concerns Collecting initial demographic and clinical patient information and entering it into the medical record Ensures that quality patient care is delivered to all patients and the clinic is maintained in accordance with professional and regulatory standards Assists Supervisor/Manager in administrative duties or projects as assigned Qualifications Equivalent to high school diploma or general education degree (GED) and 1+ years of reception experience Administrative/support experience with heavy customer service component, preferably in a health care setting Computer literate skilled in word processing and data entry with keyboarding skills at 45-50 WPM Knowledge of Microsoft Office Suite, including Outlook, Word and Excel Experience working with multiline phone system incoming and outbound Preferred Bachelor's Degree; considerable prior coursework or on-the-job training in reception/front desk Experience in healthcare/medical clinic Proficiency in Epic EHR Knowledge/Skills/Abilities Knowledge of office practices, technology applications and patient insurances Good interpersonal communication skills Ability to adhere to standard operating procedures and documented workflows. Understanding of general medical office operations and patient flow issues Use of standard office equipment (i.e. telephones, copiers, scanners, facsimiles, multiline phone systems) Ability to read, analyze and interpret common insurance plans and financial information Ability to draw valid conclusions, apply sound judgment in making decisions under pressure Ability to respond to common inquiries from customers Ability to apply basic mathematical concepts such as division, multiplication, fractions and percentages to practical situations Self-motivated, reliable individual capable of working independently as well as part of a team Organized, detail-oriented individual able to work in a fast-paced environment Ability to multi-task effectively without compromising the quality of the work Excellent interpersonal, oral and written communication skills Ability to handle and maintain extreme confidentially with patient records Ability to develop and maintain collaborative and effective working relationships with management and all levels of staff Ability to maintain an appropriate professional appearance and demeanor Benefits Medical, dental, and vision insurance Paid time off Tuition Reimbursement 401K Paid time to volunteer in your local community PDS Health is an Equal Opportunity Employer.
