Responsible for the reception and retail area of the Center. Includes the greeting of all guests, answering phone calls, assisting guests with questions regarding services and products, booking all appointments, checking guests into the computer system, charging for services performed, attending to guests and the facilities, and selling retail. Additionally assists with transitional cleaning of locker room, thermal suites, salt room, and relaxation area.
Duties and Responsibilities:
Greet and acknowledge all visitors when they walk in the front door
Protects patients' rights by maintaining confidentiality of personal and financial information.
Assist guests with the reservations and check-in process in a courteous and polite manner;
Accurately book, change, and cancel appointments;
Maintains operations by following policies and procedures; reporting needed changes.
Assist guests with payment of services and retail in an efficient and timely manner;
Maintains and patient accounts by obtaining, recording, and updating personal and financial information.
Properly open and close each shift according to Standard Operating Procedures;
Assists the Health Club Attendants with ensuring the locker room, thermal suites, salt room, and relaxation area are clean and stocked for flow of in-coming and out-going guests as needed;
Comforts patients by anticipating patients' needs and anxieties; answering patients' questions;
Maintaining the reception area;
Ensures that the check-in and payment process is handled in accordance with company policy by processing cash, credit card and credit transactions accurately thus protecting the companys assets;
Works with the other departments to ensure a high level of guest service;
Provide accurate and detailed descriptions of treatments, packages, services, treatment contraindications, facility features and hours of operation;
Maintains a working knowledge of the Companys property, as well as special events on and near property, in order to advise guest of the same, whenever possible;
Answer the phone promptly and use the guests name throughout the phone conversation;
Actively promote the Center, treatments, services, sessions, and retail, as well as programs, promotions and/or discounts available;
Responds to guest requests, complaints or inquiries professionally, courteously and promptly;
Provide accurate, appropriate and immediate responses to all requests by guests, ensuring complete guest satisfaction;
Maintain a clean, safe, fully stocked and well organized work area;
Develop ability to work without constant direct supervision and remain at assigned post for extended periods of time;
Ensures a maximum level of guest service and satisfaction is achieved and maintained.
Operates phone system accurately and efficiently;
Prepares shift cash report, balancing payments and disbursements with computer total, preparing the drop envelope for shift end, and balancing of accounts;
Responsible for maintaining a consistent, regular attendance record;
Maintain a positive attitude and contribute to a quality work environment;
Regularly attend, participate in and support training and staff meetings for the Center;
Assist in all areas of the Center operation as requested by management;
Communicate to management any and all occurrences involving staff or guests in the Center that require attention;
Completes necessary electronic medical documentation as needed;
Help members coordinate their care as appropriate with other PALM Health services and outside providers;
Develop professional and personalized relationships with members providing a sense of comfort and belonging (i.e. greeting members by their name any time you see them at PALM, checking in with the member while their seeing another PALM provider);
Maintains complete confidentiality in all member/program matters in accordance with PALM Health policy;
Demonstrates and incorporates PALM Health Mission/Vision and Values in all member contact, programs, experiences and written materials;
Attends to daily maintenance and operations of the department;
Attends all required PALM Health staff training; and
Performs other duties as assigned by the management team.
