The Quality Coordinator - MRS/MAS is responsible for the delivery of exceptional customer service by self and the Medical ReviewStream (MRS)/Medical Advisory Services (MAS) colleagues by putting all customers (internal and external) and supporting the company's mission, vision statements. Provide administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities

Administer quality management items for Quality Management Committee & management including:• Prepare random sample audit files/templates, distribute to auditor, consolidate results, and distribute summary reports/files - monthly

  • Prepare quarterly Quality Management Committee reports, presentation decks, meeting notes, etc

  • Coordinated regular interrater reliability testing of peer review advisors on the behalf of National Medical Director

Maintain, organize, and track peer reviewer advisor credentialing files including:

  • Verifying and performing primary source verification of licenses and board certifications if applicable

  • Proactively trigger the distribution and obtaining annual attestations of peer review advisors

  • Performing regular audits of credentialing file confirming the completeness of files

Maintain, generate, and distribute daily, weekly, monthly, quarterly, and/or annual statistical reports to management and client

Setup new peer reviewer advisors including:• Setting up/entering into IT system, the user provision system/The Hub, and with Accounts Payables (AP)

Setting up new credentialed advisor folders on the department's shared drive

Setting up of new clients and adjusting existing client information in the IT system and billing system for both MRS and MAS clients

Prepares monthly billing file for MAS and submits to Charge Entry Department

Other general administrative duties including:• Ordering of office supplies• Deposition scheduling for peer review advisors• Preparing and distributing Genex advisor credentialing documents• Submitting billing adjustments to AP points of contact for billing corrections• Preparing and submitting listing of active advisors for E&O insurance• Submitting of expense reports• Distributing memos to peer review advisor panel on the direction of management

Anticipates and prepares materials needed by the supervisor for conferences, correspondences, appointments, meetings, and telephone calls

Manages a variety of matters involving contact with various departmental staff

Maintains and compiles various department financial, human resource, and statistical reports and logs

Records minutes and notes and commitments made by supervisor or staff during meetings and arranges for implementation or staff follow up

Prepares special or one-time reports, summaries or replies to inquiries, selecting relevant information from a variety of sources

Reads and routes incoming mail

Composes letters and memoranda from verbal direction, dictation, or from knowledge of company policies and procedures using a PC software package

Assists in some administrative details, usually of a confidential nature

Composes, types and disseminates routine correspondence

Files correspondences and other records

Answers telephone and gives information to callers or routes calls to appropriate people and places outgoing calls

Schedules appointments and arranges meetings, conferences and appointments for supervisor

Copies correspondences or other printed matter

Coordinates and facilitates all travel arrangements for management or as requested
