Position Summary

The role of the Medical Practice Administrator reports to the Vice President of Clinic Operations in collaboration with the Vice President of Cardiovascular Service Line. This position is responsible for leading and managing the cardiology and electrophysiology practice at Walker Heart Institute and assist with bridging the connection between the medical practice and the hospital to ensure seamless patient care and staff efficiencies and effectiveness. This position is responsible for directing, supervising, and coordinating staff and activities to provide quality, cost effective care to patients while meeting goals and objectives.

Essential Position Responsibilities

  • Participate as an active, forward-thinking member of the Washington Regional Clinic Operations Group, providing leadership and direction in accordance with organizational goals and objectives.

  • Promote team building, trust, and respect in every aspect of the organization. Facilitate cooperation between providers, clinical and non-clinical staff as well as across inpatient and outpatient departments when appropriate to ensure seamless care delivery for patients and providers.

  • Work with other key individuals in identifying, developing, implementing, and monitoring initiatives and new program development that will ensure that Walker Heart Institute establishes best practice processes.

  • Assist in the development and implementation of short- and long-term goals for the practice.

  • Gain commitment of team to the organization's mission, values, and goals and to the department's established goals. Translates this work into operational guidelines that achieve patient, family, physician, and staff satisfaction.

  • Actively participate and engage in organizational meetings, including Washington Regional Clinic Manager Meeting

  • Demonstrate the ability to be flexible, organized, and functions under stressful situations.

  • Ensure that all changes to operations are effectively communicated to providers and staff prior to implementation and that executive leadership is regularly informed of progress or problems in the practice.

  • Partner with physician and executive leaders of Washington Regional on all key issues affecting the practice, including recruitment, budgets, staffing model, clinical processes, quality, and PI goals.

  • Complete reports and statistics as requested by the Vice President or COO.

  • Effectively handle office needs regarding equipment, space, moves, signage, cleaning, etc.

  • Ensure that all Washington Regional policies and procedures are effectively communicated to and implemented by all staff.

  • Interview and recommend hiring or termination of personnel in cooperation with Human Resources.

  • Ensure quality of care through direct supervision and feedback. Maintain culture of safety.

  • Coach and develop employees in job related skills through work assignment, establishment of deadlines, direct training, and regular feedback.

  • Develop and analyze systems and provider templates for effectiveness and efficiency of workflow and seeks input from providers and staff. Make ongoing improvements as necessary.

  • Review schedules on a routine basis to resolve workflow and staffing problems in advance and to analyze performance to access benchmarks.

  • Develop, justify, and maintain a fiscal plan for the practice. Monitor patient revenues, expenses, and operating expenses and provide appropriate reports.

Qualifications

  • Education: Bachelors degree in Business Management or Healthcare field required; MBA or other related Masters degree preferred.

  • Licensure and Certifications: Valid driver's license and auto liability insurance, required. RHIT or RHIA certification, required.

  • Experience: Minimum of 7 years work experience in leading a medical practice. Strong track record of success in delivering results and achieving or exceeding goals. Minimum of three (3) years of direct experience within the Cardiovascular service line
