POSITION EDUCATION/QUALIFICATIONS: High School/GED preferred.

Excellent customer service and interpersonal skills. Computer skills required with knowledge of Microsoft Office suite. Good written and verbal communication skills required.

Bilingual English/Spanish. RESPONSIBILITES: Promotes the facility mission, vision and values by effectively communicating them to others. Considers mission, vision and values in developing services, standards and practices.

Routing calls as the operator to the proper department after using the scripted greeting as prescribed by Administration. Scheduling, canceling, and rescheduling patient appointments. Scheduling the correct mix of patients for the schedule as required for each practitioner.

Confirming patients upcoming appointments. Calling and tracking missed appointments, no show and cancelled appointments. Answering telephone lines with the proper scripting provided, and accurately documenting messages within the EMR system.

Forwarding telephone calls appropriately and following up on return calls. Escalating phone calls to the next level of management when it is noted that patients, MD office staff or others have called previously and not been helped. Working the fax router or taking calls in order to manage incoming referrals for referring MD offices in a timely manner.

Working the reception desk, greeting and communicating with patients and providers, as needed.

Checking-in patients and properly documenting registrations, as needed. Insurance verification and verification of patient demographics, as needed.

Authorizing procedures or surgeries, as needed. Filing or retrieving medical records and delivering to appropriate providers or departments as needed. Filing or scanning patient and administrative files, as needed.

Copying, and faxing duties. Collecting co-pays and cash from patients, getting authorization on credit cards, as needed. Entering charges, payments, and balancing the day in the computer, as needed. Other duties as assigned

JOB SPECIFIC DUTIES Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking, transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physicians/nurses with various procedures, charting; relaying instructions to patients/families; answering calls and providing pertinent information. Fulfills clerical responsibilities as assigned which may include: sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics; managing charts to ensure information is completed and accurate. Fulfills environmental responsibilities as assigned which may include: setting up instruments and equipment according to department protocol; cleaning sterilizer according to scheduled maintenance program and keeping appropriate records, ordering, sorting, storing supplies; restocking exam/procedure rooms. Fulfills organizational responsibilities as assigned which may include; respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly. Schedules patients for procedures Calls patients on lab results and medication changes. Fill out disability forms, HH orders, Insurance forms for doctors Assists doctors with admitting patients Books, coordinates and reschedules patients appointments. Relays necessary messages to staff. Greets and registers patients in a prompt, pleasant, and helpful manner. Provides necessary instructions/directions. Informs appropriate department/person of patient's arrival. Verifies necessary information and records in the medical record. Uses computer system to generate information necessary for billing. Updates patient information, collects co-pays, provides any necessary forms needing completion, obtains signatures as necessary. Maintains and updates current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed. Answers telephone, screen calls, takes messages, and provides information. Assembles new patients' charts for next day visit. Updates profile on all patients. Fulfills organizational responsibilities as assigned which may include; respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly. Educates patients before and after procedures Maintains schedule Performs appointment follow ups Acts as receptionist as necessary Travels between facilities as requested Other duties as assigned by management :: QUALIFICATIONS: Minimum of one year of clinical experience required. Knowledge of administrative and clerical procedures and systems, and other office procedures and terminology. Knowledge of electronic equipment, computer hardware and software, including applications and programming. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
