Responsibilities

The Medical Office Representative position is the first point of phone customer service contact for our patients, physicians, other clinic staff, internal and external laboratory and imaging staff, hospital staff, patient family members, and vendors by offering customer service, communications, and appropriate distribution of phone calls and messages. The Medical Office Representative may also perform a variety of other duties including but not limited to collecting and updating demographics and insurance information, verification of health plan eligibility, taking complete and accurate messages, and scheduling mutually acceptable appointment times utilizing an electronic practice management system.

The Medical Office Representative may also be asked to perform other clerical duties as needed and requested to support daily clinic operation goals, bench marks, and quality patient care initiatives per departmental guidelines. This position may have access to third party credit card information and transactional systems (cash registers, point of sale devices, applications supporting credit card transactions, and reports or other documents containing credit card information) from single transactions or a single card at a time.

Qualifications

Six (6) month's experience in an outpatient setting as a Medical Office Receptionist preferred; or an equivalent amount of experience in a high-volume customer service role in another industry/environment; or 6 months experience as a Phone Receptionist or Health Information Associate within Dignity Health Medical Foundation. Internal/External Contacts: Patients, physicians and other clinic staff, internal and external laboratory and imaging staff, hospital staff, patient family members and vendors.

Supervision: Reports to the Supervisor; does not supervise others. Excellent interpersonal, organizational, and customer service skills are essential. Keyboarding skills and the ability to utilize computer equipment and software are required as is experience with other types of standard office equipment.

Familiarity with an electronic practice management system is preferred. Experience with multi-line phones/ACD phones preferred. Medical terminology preferred. None required for this position.

Job Summary This position is located in Emeryville, CA. The Government, Commercial, Contract and Managed Care (CCMC) Units are responsible for the accounts receivable, billing, and follow-up of all government or commercial, contract and managed care payers. The units deal regularly with complex policy and procedural issues that involve contract compliance with regard to Medicare, Medi-Cal, CCS, HMO and PPO payers. It is the units' responsibilities to communicate and to coordinate throughout various UCSF Medical Center departments, including the UCSF billing agents to ensure the quality of the university's billing process. Within these units, the Follow-Up Representatives are responsible for billing and follow-up of government, commercial, contract and/or managed care accounts receivables for MGBS clients. The incumbent demonstrates the ability to perform all aspect of billing and follow-up with quality. The incumbent's main task is to resolve all outstanding insurance accounts through constant communication with the payers (by phone or via web access), other MGBS units, UCSF clinical departments and billing agents. When resolving the accounts receivables; the Follow-Up Representative must adhere to the MGBS SRG (Situation Response Guide) to ensure consistency with the follow-up and documentation processes and to maintain good quality work. The Follow-up Representative must meet minimum productivity standards and quality expectations of their units. The Follow-up Representative must attend and be engaged in unit and team meetings aimed at increasing knowledge. The incumbent will utilize web based tools, including payor websites and the RMS website prior to calling payors. The incumbent will conform to all UCSF, MGBS, government and HIPAA policies and procedures. Required Qualifications * One year previous insurance follow-up experience * Demonstrate the ability to communicate effectively (orally and written) * Knowledge of CPT / ICD-9 or ICD-10 * Experience With Denials Management * Experience with MS Excel and Outlook * Effective time management; ability to meet deadlines * Ability to work independently or as needed with a team * Ability to meet productivity and quality standards * Demonstrates positive attitude and excellent customer service skills * Proven ability to coach and mentor staff for optimal results * Ability to set priorities, goals and objectives * Demonstrate the ability to perform all aspects of billing and follow-up with superior quality * Excellent attendance record * The flexibility to orient and work at all UCSF Health locations Preferred Qualifications * Prior working knowledge of the EPIC (Apex) system, especially PB or HB Insurance Follow-Up Module(s) * Certified Procedural Coder (CPC) * High School Graduate or GED equivalency * Associate's or Bachelor's Degree Licensure/Certification * N/A Living Pride Standards Service Excellence * Demonstrates service excellence by following the Everyday PRIDE Guide with the UCSF Medical Center standards and expectations for communication and behavior.
