Summary of Position:

The Medical Office Coordinator (MOC) supervises and coordinates the daily operations of an outpatient medical clinic. This position ensures regulatory compliance, coordinating employee schedules and assuring that essential Patient Centered Medical Home (PCMH) functions are met. The coordinator may perform staff duties within their scope, and responds to various circumstances as the lead/supervisor of the clinic.

Qualifications

Education:

  • Equivalent to graduation from high school.

  • College level coursework in the delivery of care in a medical clinic preferred.

  • Graduate of an accredited Medical Assistant training program approved by PAMF and/or equivalent preferred

Experience:

  • At least three years recent office management and supervisory experience, preferably in a medical clinic.

  • Prior experience with quality improvement measures and the Patient-Centered Medical Home preferred.

  • Prior experience with Accountable Care Organizations (ACO) and population health preferred.

  • Epic experience preferred.

Knowledge/Skills/Abilities:

  • Knowledge of professional, licensing and regulatory standards that apply to the activities of the medical clinic.

  • Proficient computer skills as are required to document, communicate and enter information into the electronic medical records system, as well as to complete an online application and pre-employment/annual online learning requirements.

  • Requires critical thinking skills, decisive judgment and ability to work with minimal supervision.

  • Must be able to work in a stressful environment and take appropriate action.

  • Excellent oral and written communication skills.

  • Excellent interpersonal skills.

  • Ability to effectively communicate in English, in compliance with patient safety standards. Bi-lingual abilities preferred.

  • Working knowledge of quality improvement measures and the Patient-Centered Medical Home preferred

  • Working knowledge of ACO's, PCMH, and population health.

Certifications/Licensure:

  • Current certification as a Medical Assistant from American Association of Medical Assistants, American Medical Technologists, California Certifying Board of Medical Assistants, or Multiskilled Medical Certification Institute preferred

  • Current Basic Life Support for Healthcare Providers certification from the American Heart Association, or ability to obtain prior to start date.

  • Possession of a valid driver's license in the employee's state of residence.

Essential Functions

  • Provide consistently exceptional care at all times.

  • Supervises and coordinates the daily operation of the medical office.

  • Oversees the ordering of office supplies, medications, and vaccines. Identifies needed repairs and maintenance of the office environment, and maintains the physical environment to ensure patient, staff and visitor safety.

  • Assists and supports staff as a resource/lead with daily office duties and functions.

  • Monitors patient schedules for optimization of appointments ensure processes are followed.

  • Assists in the development of reports to meet all organizational and regulatory requirements. Ensures reports are complete, accurate and provided according to established deadlines.

  • Audits processes to ensure appropriate submission of charge slips, credit card transactions and collected cash.

  • Ensures staffing meets the needs of the medical clinic, including scheduling of physicians and mid-level providers. Determines appropriate staffing levels based on expected patient volume and prepares staff schedules.

  • Facilitates and completes projects, audits, surveys and statistics.

  • Ensures ongoing compliance with professional, licensing and regulatory standards and assists in the development and implementation of corrective actions when deficiencies are noted.

  • Coordinates staff training and ensures compliance with ongoing training requirements.

  • Assists with payroll processes, ensuring the employee timekeeping system reflects accurate employee hours and consistently meets payroll deadlines.

  • Provides leadership to clinic staff.

  • Orients and trains staff and participates in performance reviews and disciplinary processes.

  • Identifies process improvement opportunities and makes recommendations for change.

  • Coordinates department meetings on a consistent basis.

  • Responds to the needs of the department by performing other duties, as necessary.

Daily meeting with discharge planners and community representatives in assessing the needs of prospective residents while maintaining the highest level of professionalism and the confidentiality of residents. Essential Functions: * Exercises ethical and sound decisions in carrying out the admissions work of the facility and works with respective departments to coordinate all admissions. * Develops professional relationship with discharge coordinators and caseworkers, responding to all callers and visitors inquiring about admission. * Develops and implements plans to promote facility to community hospitals and agencies in accordance with Prestige marketing plans and as recommended by the regional marketing director. * Screens and coordinates admissions taking into account accommodation for the individual needs of residents and provides referrals for alternative placement when necessary. * Completes required paperwork with the resident or resident’s agent and communicates admission information orally and in writing to the admissions team does follow-up with the resident and resident’s family or agent. * Works with the health care team to identify resident care goals in order to assure that adequate resources, environments, and services are provided to residents, meeting regularly with health care team to assure highest practicable care will be delivered. * Ensures residents’ dignity and right to privacy and that resident’s are free from sexual abuse, physical abuse, mental abuse, corporal punishment, exploitation, neglect and involuntary seclusion. * Works with the administrator and admissions team to ensure that personnel are available in number and ability to attain or maintain the highest practicable level of physical, mental, and psychosocial well being for the resident that meets the state and federal regulations. * Maintains safety rules and procedures while adhering to safe fire, emergency and disaster plans of the facility that incorporate federal regulations and OSHA requirements to ensure a healthy and safe environment. * Works with administrator in reviewing and keeping the admissions and marketing department within the budget. * Ensures that all the facility’s programs, policies and procedures are followed to fulfill administrative responsibility and professional responsibility. * Supports a dignified and caring atmosphere with residents, residents’ families, visitors and staff. * Perform other related duties as assigned.
