The Louisiana Center for Bleeding & Clotting Disorders (LCBCD) is currently seeking a proficient Medical Office Assistant to undertake a comprehensive array of clinical, clerical, and administrative duties. Clinical responsibilities encompass patient triage, medical data collection, and accurate recording of vital signs, including blood pressure, pulse, and weight. The role also involves providing assistance to healthcare providers during procedures and conducting routine point-of-care testing. Additional responsibilities include collaborating with the Clinic Manager and LCBCD nurses to schedule patient appointments, manage document transmission, and pre-certify services, procedures, and specialty medications. Moreover, the Assistant will provide clerical support by creating patient accounts in TUMG, processing payments, scheduling follow-up appointments, and seamlessly transitioning between clerical and clinical duties as needed within the clinic environment.

Furthermore, the Assistant will assist in managing insurance prior authorizations for procedures, services, EKGs, and specialty pharmacy medications with a particular focus on Physical Therapy authorizations. This role involves meticulously obtaining all necessary documentation and additional information required for the prior authorization process to ensure seamless execution of services and procurement of specialty medications for patients. Effective interpersonal and communication skills, both in-person and via telephone, are essential for fostering collaborative relationships with patients, families, healthcare professionals, and stakeholders.

  • In depth knowledge of good clinical practices as set forth by federal regulations.

  • Solid analytical skills and attention to detail.

  • Knowledge of healthcare insurance precertification, prior authorization and coding requirements and processes.

  • Understanding of payor medical policy guidelines while utilizing these guidelines to manage authorizations effectively.

  • Knowledge of patient assistance programs.

  • Knowledge of and ability to use computers and a variety of computer software programs, including word processing, database management, spreadsheets, electronic medical records, and multiple websites.

  • Skills to effectively organize projects and achieve timely progress on multiple, concurrent assignments, as well as establish and achieve set management goals.

  • Ability to effectively present information in one-on-one and small group situations to patient and their family, third party payers, and other employees of the organization.

  • Proficient knowledge of clinical and medical terminology- ICD 10, HCPCS, and CPT codes.

  • Ability to quickly learn and easily adapt to new technologies.

  • Ability to multitask and remain focused while managing a high-volume, time-sensitive workload.

  • Ability to function effectively in a fast-paced, changing environment with multiple priorities and with a large multi-disciplinary team.

  • Excellent customer service skills with effective oral and written communication skills and ability to establish collaborative working relationships.

  • Ability to prioritize projects to meet timelines and effectively report to management on progress.

  • Ability to work independently unsupervised for long periods and manage time well.

  • Ability to communicate with multiple managers and keep them abreast of progress.

  • Ability to work with diverse population.

  • Excellent oral and written communication skills.

  • Ability to work in a fast-paced environment and patient-centered atmosphere.

  • Ability to work with others within a team to ensure quality patient care.

  • Ability to multi-task and prioritize work assignments.

  • Ability to maintain confidentiality in all work performed.

  • Successful completion of a medical assistant program, military corpsman program, or Certified Nursing Assistant training program

  • High School Diploma or equivalent

  • Two years of clerical/administrative medical office experience

  • Familiarity with electronic medical records

  • Working knowledge of Microsoft Word
