Performs patient check in and check out procedures, processes financial information, and provides patient billing information. Demonstrates effective customer service and computer skills.


1.Maintains compliance with organizational policies and procedures.

2.Maintains compliance with revenue cycle and financial audit guidelines.

3.Demonstrates effective computer skills, files, answers phones in a timely and professional manner providing complete and accurate information, and provides other administrative duties as required.

4.Accurately performs patient check in and check out procedures. Processes privileged patient health information (obtains current insurance verification and authorization, codes visits using accurate ICD and CPT codes), balances daily receipts, and responds to billing questions. Schedules patient appointments entering all required demographic and clinical information into the system and coordinating with other parties.

5.Orders and maintains clinical supplies, office supplies, and equipment.

6.Maintains compliance with established safety and regulatory guidelines, including HIPAA, OSHA, and infection prevention policies and procedures. Participates in unit performance improvement activities.

7.Demonstrates good customer service skills when interacting with patients, families, and visitors. Exhibits effective communication skills and team work.

Education Requirements:

High school diploma or general education degree (GED) required.

Licensure/Certification Requirements:

No licensure or certification required.

Professional Experience Requirements:

Prefer completion of an accredited medical administrative assisting program and previous experience in a medical office.

Knowledge/Skills/and Abilities Requirements:

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence. Ability to speak effectively before groups of patients, or employees of organization. Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent. Computer Skills: Ability to enter and process data accurately. Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

HOW YOU WILL DO IT Purpose Statement: Responsible for providing administrative support to the assigned Vice Presidents/Directors and exercises independent judgment in handling calls, maintaining the executives' schedule and calendar, and coordinating meetings, conferences, presentations and travel. Prepares reports and presentation materials, schedules and monitors workflow, and provides project support. The confidential nature of this position is of the utmost importance. Key Job Accountabilities: * Recognized by others as a knowledge base for internal and external contacts, resources and daily events. * Promptly responds to urgent requests. * Provides administrative support to site staff and management by performing duties in support of support initiatives and policies including compilation of data, reporting, presentation preparation, expense reporting, and workflow scheduling. * Makes independent decisions within established guidelines to support the planning, scheduling and execution of various site events including meetings and training sessions. * Effectively manages and prioritizes multiple assignments and deadlines. Additional Accountabilities: * Composes documents, presentations and correspondence, typically of a confidential nature. * Participates with other administrative assistants in providing back-up support. * Manages all aspects of travel; assist with travel arrangements and logistics of potential employees. * Prepares meeting agendas and briefing, maintains meeting notes and arranges for implementation of action items. * Handles telephone calls, greets visitors and responds to information requests. * Manages the reservation of conference rooms to reduce scheduling conflicts. * Makes catering arrangements and provide assistance for on-site and off-site lunch meetings, as requested. * Distribute mail on a daily basis. * Minimal travel may be required to meet the needs of the business * Additional duties as assigned by management. Education/Experience Qualifications: * A minimum of an Associate's degree is required; a Bachelor's degree is preferred. * Three (3) years of related experience is required; Five (5) or more years of related experience is preferred. * Inter-relationship skills needed while supporting a number of Service Centers. * International awareness is desirable. An equivalent combination of education and experience sufficient to successfully perform the key job accountabilities may be considered.
