Position Description:
As an Administrative Assistant Sr. at Medical School Regional Campus in Wausau, WI you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under general direction.
Primary Functions
Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
Compose correspondence as needed, which may contain confidential information.
Use basic and more advanced functions of a variety of computer applications and software packages.
Proofread and format documents to ensure accuracy.
Greet and direct visitors providing information and campus tours; screen telephone calls and resolve complex inquiries.
Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
Compile data and information from multiple sources to prepare reports.
Process payment requests, requisitions, and invoices.
Distribute mail and organize filing systems accurately maintaining records.
Gather information needed to compile and prepare reports from multiple sources following a predetermined reporting scheduled.
Coordinate and maintain calendar of events, appointments and meetings for assigned staff.
Maintain operation of office equipment such as changing toner, ordering and tracking office supplies.
Process basic payment requests, requisitions, and invoices.
Maintain records and file systems to track, schedule and record activities related to the institution, programs, standardized patients, learners, and campus operations.
Department Specific Primary Functions
Serve as liaison with faculty, administration, other departments, affiliates, outside institutions, and other campuses.
Lead role in coordination of special projects; coordinate activities and keep track of status/progress.
Research, collect and compile data; prepare special reports.
Coordinate room reservations, room and event set up.
Provide basic audiovisual and technical support (i.e. Wi-Fi connections; videoconference) to MCW faculty, staff, and students in setting up equipment for meetings and providing basic customer service.

Position Requirements:
Appropriate experience may be substituted on equivalent basis.
Minimum Required Education: High School Diploma
Minimum Required Experience: 5 years of experience
Preferred Education: Associates Degree
