Summary

Reports and works under the direction of the Manager of On-Site Services. Under general supervision and according to established policies and procedures, performs various on-site services, clerical duties, patient care, and maintains a professional relationship with COM clients. Responsibilities include assisting in biometric screenings quickly and efficiently, performing services independently with limited supervision, knowledge of all of Business Medicine services to assist Manager of On-Site Services in predicting and fulfilling the client's need, answering the telephone, and performing data entry.

Performs preparation for on-site duties in accordance with established policies and procedure by:

  • Prepares client specific templates of drug screens, random drug screening, respirator questionnaire/fit testing, audiometric screening, TB screening, hepatitis vaccines, and influenza vaccine for management approval.

  • Assists with proper station set up and preparation of needed supplies to ensure an overall successful on-site event.

  • Early preparation has the ability to anticipant possible problems and plans accordingly to succeed in on-site service.

  • Receiving telephone calls, taking and relaying messages accurately to the On-Site Clinic Practice Manager.

  • Has the ability to adjust or edit basic forms to fulfill client's request.

  • Assisting in creation and adjustments of biometric forms.

  • Accurately adjusting services provided on billing sheet and submitted for approval.

  • Requires proficient computer skills, internet knowledge and the ability to utilize various software programs (Microsoft Office Word, Excel, databases, etc.).

  • Obtaining information from the patient and entering the data into the practice management system to accurately complete the patient record for specific events, computer input, etc.

  • Maintaining patient/company files, events, services, and records.

  • Performing clerical duties including faxing, copying, typing notes and memos.

  • Data entry of contractual reminders to clients, in order to fulfill the client's need on a monthly, biannually, or annually need.

  • Assists in research of wellness event needs and helps provide the client with marketing material of other COM services.

Performs On-Site patient/client care duties as directed by the physician and/or On-Site Practice Manager by:

  • Performs occupational services requested by our clients at their company by assisting and fulfilling the needs of each patient professionally (including drug screens, respirator questionnaires, fit testing, pulmonary fit screening, immunizations, DOT physicals, and EKG tests as requested).

  • Upholds a professional manner through all on-site events.

  • Able to set up all required supplies efficiently and effectively, and pack up just as quickly after each event without disrupting the normal flow of business for patient and client.

  • Adjusts quickly and professionally for the company in order to immolate and follow required procedures of the facility.

  • Follows all privacy guidelines by use of dividers, separate rooms, etc.

  • Prepares each patient for the required service by obtaining preliminary consent information to be completed.

  • Reviews with each patient the service being provided and explains each process/step to completion.

  • Performs each service from beginning of the paperwork, explanation of the service, process of the service, billing, delivery of data to the client/broker/insurance, and finally the data entry of the service.

  • Complete understanding in performing health and wellness events for clients with over 3000 employees.

  • Follows triage care for abnormal or unusual situations and contacts provider when needed for appropriate procedures when needed.

  • Interprets a high volume of patient results with the ability to input data quickly and accurately within a required deadline to satisfy the needs of the patient and the client.

  • Maintains a professional manner with clients and possible 3rd party business in fulfilling their need for the company.

  • With On-Site Service Practice Manager's approval, assists in running or leading health and wellness events and overseeing up to 6 other staff members during event.

  • Prepares data/results and sends to appropriate patient, client, or third party complying with all necessary HIPAA privacy guidelines.

  • Checking and maintaining supply of stock for onsite department (office and multiple service needs).

  • Cleaning and sterilizing instruments and equipment.

  • Confirming scheduled events and verifying times with clients and patients if needed.

  • Preparing procedure orders and accompanying data to be sent to the hospital for inpatient/outpatient studies.

  • Complete drug and alcohol testing according to the guidelines; certification for federal testing.

  • Entering patient information, health and wellness information, injections, and results into the electronic medical record.

  • Knowledge and training in Wellness Coaching to further educate patients during a wellness event.

Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:

  • Attending required meetings and participating in committees as requested.

  • Enhancing professional growth and development through in-service meetings and educational programs as approved.

  • Completing other job-related duties and projects as assigned.

  • Keeping up to date with all certifications, CEU's, and other up to date programs

ORGANIZATIONAL RESPONSIBILITIES

Associate complies with the following organizational requirements:

  • Attends and participates in department meetings and is accountable for all information shared.

  • Completes mandatory education, annual competencies and department specific education within established timeframes.

  • Completes annual employee health requirements within established timeframes.

  • Maintains license/certification, registration in good standing throughout fiscal year.

  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.

  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.

  • Adheres to regulatory agency requirements, survey process and compliance.

  • Complies with established organization and department policies.

  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience

  • The knowledge, skills and abilities as indicated below are acquired through the successful completion of a high school diploma or equivalent is preferred. Must be a minimum of 17 years of age. Successful completion of an approved Medical Assistant Program or equivalent work experience is preferred. Previous medical office experience and the ability to speak and write Spanish are desired.

  • Requires general knowledge of billing, administration, and office procedures.

  • Ability to interpret patient problems independently of the clinic and interpret data without direct supervision.

  • Requires ability to perform procedures applicable to the practice.

  • Knowledge of Word and Excel computer program.

  • Must have or obtain required certifications including Wellness Coaching, TB, CPR, First Aid, DOT drug screen and BAT.

Working Conditions

  • Has own transportation to provide services at multiple locations.

  • Flexible hours and work schedule required.

Physical Demands

  • Requires the physical ability and stamina (i.e., to walk/stand for prolonged periods of time, push carts/wheelchairs up to 50 pounds, to position/lift patients at a maximum of 35 pounds unassisted, over 35 pounds requires assistance, provide CPR, etc.) to perform the essential functions of the position.
