Position Goal: Assist Physician(s) in Clinic with patient care activities. Complete administrative duties as required.

  • Familiarity with what the physician requires for a productive clinic.

  • Review and maintain charts to ensure completeness/EMR guidelines w/reviewing clinicals.

  • Escort patient from waiting area to triage area, ranging from those patients with full mobility to limited mobility. Constant monitoring of schedules and patient flow during clinic to ensure maximum efficiency/organization.

  • Review initial vital signs evaluation to include any lab specimens

  • Remove staples, sutures, and assist with minor surgical procedures as needed

  • Clean and sterilize equipment using approved techniques

  • Clean and stock exam rooms and change sheets on exam tables after each patient

  • Communicate restrictions and instructions to patients

  • Follow up calls to patients after surgery or other invasive procedure to document their progress

  • Communication with outside facilities for scheduling tests or surgery to include having any necessary orders, pre-cert, or referral information ready

  • Completion of insurance, disability, and FMLA forms in a timely manner

  • Scheduling surgeries and diagnostic tests, prepare "blue-sheets"

  • Route charts and films for surgeries and tests per the physicians protocol

  • Ensure patients have the necessary surgery/test appointment information to include location, date, and time

  • Assist in administrative duties as required, to include but not limited to: collection of past due balances when scheduling surgery, scheduling appointments pre-cert procedures, insurance verification, data entry, posting charges, and assisting secretaries.

  • Other duties as assigned.

Experience: MA certification or minimum one (1) year experience required.

Education: High School Diploma or equivalent required.

Special Qualifications:
Must be able to work independently and have working knowledge of HIPAA requirements. Maintains BLS certification. Knowledge of the health care field and medical specialty. This position may require irregular work hours. Motor Vehicle Record (MVR) must be in good standing.

Maintains awareness of verbal/nonverbal communication in interactions with staff, other departments, physicians, patients and families. * Coordinates and secures third-party authorization for admission to the program when needed. * Records and maintains proper documentation of patient observations, collateral source information and disposition outcomes on screening form. * Assures all applicable program policies and procedures governing intake processes, communication and coordination of program admissions are followed and all actions are in compliance with such. * Demonstrates the knowledge and skills necessary to provide effective screenings and awareness of alternate treatment options and services appropriate to all patient populations. * In conjunction with the Director of Admissions and Director of Business Development, conducts an assessment of the marketplace and identifies opportunities for potential referral sources to the program. * Participates in department performance improvement activities to improve patient care, Intake processes. Conducts Screenings of the intake system across all shifts with a focus on timely disposition planning. Assists in data collection as directed. * Demonstrates knowledge and understanding of new policies and procedures, best practices, changes in practice and initiatives. * Obtains this knowledge through staff meeting attendance, required hospital education, literature review and discussion with department leadership and colleagues. * Demonstrates professional growth by maintaining awareness of changes in intake protocols and evidence-based best practices. * Coordinates work to achieve maximum productivity. Able to multitask and prioritize workload. * Conducts all activities expected of their position with proper consideration and responsibility towards clinical compliance and appropriate fiscal stewardship. * Must be able to clearly identify and articulate all Services that Greenleaf has to offer to prospective clients and referral sources. Must be able to demonstrate pleasant mannerism while communicating with prospective clients and referral sources even in times of high admissions and high stress. * Must be willing to effectively communicate and tactfully communicate with all areas and departments of Greenleaf regardless of the situation, and often in times of high stress. * Follow Greenleaf Time and Attendance policy.
