Physician Location: Narragansett, RI Full or Part Time: Full Time Schedule: 38-40 hours per week, Monday – Friday and some Weekends Excellent benefits and work environment JOB SUMMARY Performs Medical Assistant duties for a busy Walk-In & Primary Care Medical Center.

Responsible for the rooming patients, checking vital signs, vaccine administration, completion of forms, phone calls, prior authorizations. Provides Office assistance where needed including patient intake, filing, copying, scanning, collating, assembling and mailings. Has knowledge of commonly used concepts, practices, and procedures within a medical office environment.

Performs all medical assistant duties such as receiving incoming calls, taking messages, transferring calls, accepting deliveries of vaccines and medical supplies, and greeting patients and visitors. Prepares mailings, UPS and other overnight shipments as required. Operates under general supervision.

Requires medical office experience and knowledge about different insurance plans. A self-starter, team player that is professional, dependable and reliable. Possesses strong telephone, communication and interpersonal skills with the ability to work in fast-paced team environment.

Exceptional presentation, organizational skills and detail oriented. Must be able to multi-task. Relies on instructions and pre-established guidelines to perform the functions of the job.

Coordinates routine and on-demand administrative activities related to patient care. A responsible, conscientious professional who is able to work in coordination with other office personnel and with other co-workers in this role. Must be accountable for group work and able to pass on and receive tasks based on a work schedule without disrupting the office flow.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES Politely and efficiently answers incoming phone calls. Documents patient phone call messages directly into the EHR System and communicates pertinent information to other office staff and medical personnel as required. Greets and interacts with patients, visitors and vendors in a courteous and professional manner.

Excellent communication and interpersonal skills required. Maintains a neat, organized and professional waiting area. Responsible for ensuring examinations rooms are in order and necessary medical supplies are in stock.

Calls patients regarding test results and plans for follow up according to office protocol and provider request. Assists with patient notification of test results under supervision of the providers. Relays other messages to patients as requested and documents phone calls appropriately in the EHR system.

Assists with Pre-Visit planning. Works with Providers to prepare or reprint lab orders for Health Maintenance and Follow-up visits as needed to be ensure data is available at time of appointment. Works in a proactive manner in coordination with reception staff to review current patient panel and to schedule overdue health maintenance visits.

Responsible for the tracking and filing test results reviewed by providers. Ensures that all charts are filed efficiently and in a timely manner. Position requires individual to engage in new health care initiatives including Patient-Centered Medical Home and NCQA recognition, etc.

Performs office support and related clerical and administrative duties as required. Assists with completion of TDI and FMLA forms and Prior Authorizations for medications and diagnostic imaging. Assists with special projects and assignments as needed.

Performs other duties as assigned. General Requirements Performs quality work within the walk-in and primary care office setting. Represents the practice in a positive manner to all patients and all applicable external clients.

Brings issues to the appropriate manager(s) in a timely manner for resolution. Performs other related duties as assigned. MINIMUM QUALIFICATIONS Education and Experience Associates or Bachelor's degree preferred with at least 1 year of experience in the Medical Healthcare field.

Certified Medical Assistant (CMA) and High School Diploma or GED required. Experience working with primary care providers. Experience working with patients.

Skills and Training Excellent interpersonal skills and ability to work with co-workers and others to get the job done. Strong Telephone Skills, Typing, Filing, Copying, Faxing, Telephone Systems. Excellent at taking notes and developing action plans from meetings with the Physician and other office personnel.

Provides effective communication and follow-up to ensure completion of planned activities. Highly organized and detail oriented. Excellent written and verbal communication skills.

Maintain confidentiality in accordance with HIPAA (Health Insurance Portability and Accountability Act), the practice’s philosophy and policy, and state and federal regulations. Must handle the most sensitive and confidential matters with the utmost discretion. General medical equipment - Nebulizer, EKG, Autoclave.

EPIC EHR experience strongly preferred or experience with other electronic health/medical record system required. Strong knowledge of data entry, coding, and the ability to support the program and practice. Licenses and/or Specialized Knowledge or Skills Medical Assistant Certification Strong knowledge of a medical office regulations, practices and procedures including those for patient services, labs, pharmacy, hospital, medical providers, insurances and attorneys.

Maintains a level of confidentiality and professionalism regarding patient and office information. Excellent planning and time management, communication, organization and interpersonal skills. Proficient in the use of scheduling systems and experience with the Internet in obtaining up-to-date information.

Physical Demands The tasks of this position are normally performed in a physician office setting when key members of the clinical team are available. Some tasks will be completed sitting at a desk, using a computer. Regular lifting of up to 10 pounds and occasional lifting of up to 25 pounds is expected.

Must be able to maintain a good attendance record. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed above are representative of the knowledge, skill and/or ability required for this position.
