Roles & Responsibilities:

Provides secretarial and clinical support tophysicians and surgeons and performs administrative duties necessary to deliverquality patient care.

Duties and Responsibilities:

  • May schedule appointments for patients

  • Take detailed clinical phone messages forphysician or advanced allied healthcare provider

  • Acquire insurance authorizations for proceduresand tests ordered by attending physician

  • May enter orders into the electronic medicalrecord (EMR) system or prepare prescription refill requests on behalf of thephysician for the review and approval by the ordering physician

  • Maintain logging system as required for trackingtest results

  • Assist in the maintenance of medical chartsand/or electronic medical record (filing, Op Reports, test results, home careforms)

  • May schedule surgeries/procedures or work inconjunction with Surgical Coordinator verifying times with patients; preparingcharts, pre-admissions and consent forms as necessary

  • May be responsible for Medical Assistant dutiesif qualified, such as performing venipuncture and/or EKGs, checking schedulesand organizing patient flow; accompanying patients to exam/procedure room,assisting patients as needed with walking, transferring and dressing, as wellas collecting and processing specimens and point of care testing, preparing forexam, etc. May assist physicians with various procedures, takes vital signs,relays instructions to patients and or families; answers calls and providespertinent information

  • Retrieve physician correspondence from dictationservice, edit where necessary

  • Prepare physicians' mail correspondence

  • Compile documents for surgical billing packages

  • May maintain, adjust and confirm patient officeschedule

  • Help direct patient flow during practice hours

  • Participate in revenue cycle processes

  • May perform medical scribe functions

  • Performs other duties as assigned

Requirements:

  • Associates Degree or High School Diploma/GED plustwo years of related experience

  • Graduate of a Medical Assistant Program ifperforming clinical duties

  • Certified Medical Assistant required ifperforming Medical Assistant duties

  • 3 years of related experience

The responsibilities of the position alsoinclude administrative support, preparation and coordination of clinical datafor patient care, and serve as a liaison between patients, clinicians and/orother departments. Dutiesand Responsibilities: * Provideclinical and administrative support to an assigned physician(s), which consistsof answering routine and specific administrative inquiries. * Triageand screen all calls in a respectful and courteous manner; transfer calls toappropriate individuals for follow up and/or response. * Coordinatethe scheduling of patient office visits, treatment visits and procedures forpatients in all computer systems or as necessary, not limited to EPIC andCerner, accurately and timely. * Mayscreen and schedule patient appointments, schedule referrals of special testingor doctor's visits, and keep record of patient billing for submission. * Obtainauthorizations and/or referrals for physician office visits, outpatientprocedures, inpatient admissions and diagnostic tests prior to servicesrendered. * Obtainpatient records, new and established patients from referring physicians,outside facilities. * Assistin the completion and gathering of clinical information for disability andinsurance related issues and forms. * Fax,scan, and file all necessary documents pertaining to patient care in a timelyand efficient manner. * Edit,fax, scan, save and mail and/or dictations to patients, PCP's, Specialists andreferring physicians on a daily basis. * Coordinatepeer-to-peer reviews as necessary or requested by physicians, thecompliance/auditing department or administrators. Assist in the retrieval of patient recordsfor internal and external auditing. * Maytrack expiration dates of assigned physician's professional licensure, andnotify staff of upcoming license expiration date to prevent suspension. * Assistin the planning and logistical coordination of internal / external conferences/ meetings, conference calls, forums, maintain updates on physician's outlookcalendar on a daily basis in a timely and accurate manner. * Supportphysicians by typing, scanning, organizing and saving all documents pertainingto research and research publications. * Coordinateall travel arrangements and accommodations for physicians to include air/train,hotel reservations and ground service. Prepares travel reimbursements and expense reports for physician and/orsupporting staff members. * Mayprepare minutes of meetings, agendas, correspondence, statistical reports,tables and other documents and transcribes dictation as needed. * Preparesand follows up on purchase orders, change orders, check requests and petty cashvouchers. Processes and follows up onother forms of reimbursement for assigned staff. * Screensand prioritizes all incoming mail for needed action and follow up. Responds to mail where appropriate ordistributes mail requiring attention to appropriate individual(s). * Maymaintain patient files. * Performsother related duties as requested.
