A Growing healthcare organization in the metro area is seeking a highly skilled Executive Assistant. The ideal applicant will be a strong problem solver, able to change priorities quickly, and move at a fast pace. This position will support the office as they move to a new location. Strong project management skills and previous experience assisting many individuals at one time. Must have MS Office including Publisher. Hours are 8-4:30pm Monday-Friday. Could lead to a full-time offer. Additional Responsibilities include: - Researching leasing space for long-term care facilities

  • Inventory upkeep and ordering office supplies

  • Various projects the team is working on - scheduling meetings and coordinating schedules

  • Manage incoming calls

  • Educate and run other support staff and customer relations

  • Preparing projects for presentations

  • Assemble reports and financial data

Requirements Include: - 3-5 years of Executive Assistant Experience

  • Outstanding organizational skills, ability to multitask, an eye for detail and previous project management experience

  • Command of Microsoft Excel

NAMSA has breadth and depth in consulting, non-clinical and clinical services with expertise in cardiovascular, orthopedic, ocular, neurologic, gastroenterologic, urologic, combination product and related medical devices. For more than 50 years, NAMSA clients utilize its testing and consulting services to bring safe and effective products to market. Principal Duties and Responsibilities * In collaboration with other managers, develop, manage and standardize the Medical Writing processes to include best practices and tools/systems. * Supervises and provides coaching and assistance to Regulatory Specialists and Medical Writers. * Supports Associates with challenges, including those related to project finances, technical issues, client service, and timeline issues. * Confirms appropriate regulations and quality are being applied in the performance and documentation of regulatory and medical writing projects. * Works with staff to ensure client expectations are met, including project schedule, budget/cost and client satisfaction. * Intervenes and problem-solves with challenging clients as necessary. * Provides opportunities and coaching to promote education and further Associate's understanding of the medical device development process, including client business strategy and marketing requirements. * Proposes and implements systems to support internal process improvements and NAMSA's long-term growth. * Accomplishes Regulatory and Medical Writing department's financial objectives, by assisting with forecasting requirements/capacity, preparing annual budgets, scheduling and overseeing expenditures, analyzing variances, and initiating corrective actions. * Maintains qualified staff by recruiting, selecting, orienting, and training Associates, and developing personal growth opportunities via training plans, quality oversight/assurance and/or career path planning. * Allocates workload for assigned Regulatory and Medical Writing projects. * May take on duties and responsibilities of a 'Regulatory Specialist or Medical Writer' as needed. Marketing Duties and Responsibilities * Participates in meetings with prospective clients. * Provides scope of project and relevant information to support the creation of proposals. * Identifies opportunities to bring in new projects/clients. * Offers opportunities to clients for expansion of NAMSA's Medical Research Organization (MRO) services. Qualifications and Skills * Bachelor's degree or equivalent experience in a related field * Minimum of 5 years of relevant experience, including 2 years of people management experience Technical Competencies * Knowledge of Good Laboratory Practices, Good Manufacturing Practices, Good Clinical Practices, ISO and other regulations which apply to medical device development and to utilize appropriate Guidance Documents and Regulatory Strategy. * Multidiscipline (at least 2 specialties) therapeutic knowledge * Familiarity with medical device development process from pre-clinical to commercialization. * Knowledge of medical writing, particularly the writing of Clinical Evaluation Reports. * Ability to participate in and present during an FDA/notified body/regulatory inspection * Strong management and strategic business mindset and skills * Ability to provide work direction, to include organizing, prioritizing, negotiating, communicating relevant project information and scheduling work assignments. * Ability to handle multiple priorities and issues, foster a cooperative work environment with high quality standards, and facilitate and manage effective meetings. * Solid expertise in FDA interactions including presentations, in person meetings and calls.
