  • ICF is currently looking for a Media Planner to coordinate major meetings, conferences, teleconferences and national campaigns and activities for a health focused Federal program. In this role you will

strategize new engagement events and campaigns to increase staff participation and internal communications effectiveness while ensuring all events meet government regulations regarding light refreshments, meals and requirements.

We look to you to bring your talents in:

Prepare project plans for each meeting/conference/event, including communications/promotions requirements, timeline and all associated tasks;

Reserve venue, design and set up location, organize web casting, recording, audio/visual requirements, photography, sign language interpreters, security, catering, shuttle services, parking and all other logistics necessary for the venue or scope of event;

Write, design, print and compile handouts, packets, and other meeting presentations and disseminate promotional materials (e.g., flyers, emails, posters), invitations, tent cards and name badges.

Recommend potential vendors and help with contract negotiations for meetings/conferences/events Coordinate travel arrangements for sponsored participants;

Plan and execute large-scale meetings, including All Hands or Town Hall Meetings, Leadership Awards, and other meetings/events as assigned;

Develop Standard Operating Procedures (SOPs) for planning meetings, events and campaigns; submit for approval and update as necessary;

Develop, foster and maintain positive and effective relationships with staff and outside sector constituent groups;

Draft and submit reports, develop and collect data for meeting evaluations, ensuring OMB regulations are met;

Attend all planned events to provide trouble shooting and routine support;

Evaluate effectiveness of events, through measurement of attendance, participation and satisfaction with events and campaigns

Successful candidates have:

Bachelor's degree in a related discipline; two (2) years of specialized experience and a minimum of five (5) years of Meeting Planning experience.

Experience in meeting planning for Federal programs

Ability to work in a fast-paced environment, manage multiple tasks, and skilled in overall project management

Experience with Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint).

Strong communications skills, both oral and written.

Excellent analytical, organizational and time management skills.
