Summary:

The Med Express Office Coordinator is responsible for oversight of MedExpress daily activities, the revenue cycle within the clinics, staying up to date on current coding and insurance billing requirements and training/monitoring of the staff throughout the day by monitoring each site and adjusting as needed to meet patient needs. Responsibilities include assisting in the development, implementation, maintenance of policies and procedures, and overseeing department quality assurance, and providing timely and accurate clinical and administration data to ensure optimal reimbursement for professional services performed urgent care to meet organizational needs. The MedExpress Office Coordinator demonstrates excellent customer service performance and supports a work environment in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and WE CARE Values of Covenant HealthCare, and the commitment to "Extraordinary Care for Every Generation."

Responsibilities:

Responsibilities Responsible for supervision of duties of MedExpress but not limited to: patient throughput excellent execution of all front-end functions, staff hiring, training and mentoring, corrective action and employee development, evaluations. Ensures appropriate employee scheduling, coordinating coverage for vacation, medical leaves, jury duty, etc.

Assures diagnostic and procedure codes, including billing modifiers/authorization, are entered into system for billing purposes in a manner that properly reflects third-party carrier billing requirements. Utilizes analytical skills when reviewing charts, interpreting documentation and applying codes, sufficing edits, etc.

Assures coding is completed timely and all work queues are maintained at a reasonable completion rate/turnaround timeframe.

Charge entry for professional services (office, urgent care, acute care, and occupational health services). Works collaboratively with Central Billing Office in problem solving but not limited to revenue cycle and third party payer requirements. Performs E & M, procedural or other specified coding audits for many professional settings and services. Identify solutions to problems and assist in resolving issues related to coding.

Utilizes numerous references to support technical decisions, clinical understanding of disease processes or procedures/tests performed. Follows policies, procedures and guidelines to assure consistent coding quality. Supports physicians, leadership, managers and staff on coding and documentation related items.

Contributes to organizational success targets for patient satisfaction. Recognizes, investigates, and solves routine and complex problems. May seek assistance from the MedExpress Manager with difficult situations.

Process accounts payable and reporting of inconsistencies to Patient Accounting or MedExpress Manager. Exemplifies financial stewardship by effectively and efficiently managing financial resources to achieve desired outcomes. Ensures accurate reporting of employees' time for payroll.

Orders supplies within budget constraints. Continually monitors, identifies and/or recommends ways in which departmental tasks/process may be streamlined to gain efficiency. Participates in staff meetings, in-service programs and continuing education activities as necessary.

Attends monthly Covenant Leadership meetings and CMG Leadership meetings as expected. Clinical contact with patients in all age groups: Newborn, pediatric, adolescent, adult and geriatric Assists with and may lead specific quality assurance initiatives for the department.

In conjunction with the Manager, assists with new staff orientation, mandatory education and staff competencies for the MedExpress. Coordinates daily staffing to meet procedure/customer needs, as needed. Fills in as staff where appropriate, as needed. Performs other duties as assigned.

Other information:

Requirements EDUCATION/EXPERIENCE Associates degree required, Bachelor's degree preferred. In lieu of Associates degree, a minimum of two (2) years medical field experience required and willing to obtain an Associate's degree within three (3) years.

Certified Professional Coder (CPC) required with two years coding experience in a professional setting. May substitute two years ICD9/10CM and CPT-4 coding experience with understanding that the Certified Professional Coder (CPC) requirement be fulfilled within 12 months of the start date. Recent experience in physician practice and supervisory or leadership experience preferred.

Experience in professional coding setting/physician office setting utilizing ICD9/10CM and CPT-4 coding books and references preferred. KNOWLEDGE/SKILLS/ABILITIES Strong working knowledge of and ability to practically apply medical terminology, CPT-4, HCPCS and ICD-9-CM coding. Working knowledge of Covenant HealthCare and MSO policies and procedures.

Knowledge regulatory agencies standards. Excellent written/oral communication, interpersonal and leadership skills. Proficient with PC and spreadsheet applications, electronic billing, build of scheduling templates and health record but not limited to Lotus Notes or other e-mail/calendar applications, Excel, Microsoft word.

Excellent computer and typing skills. Proven ability to deal positively with physician and staff to motivate and resolve problems effectively. Ability to maintain confidential information.

WORKING CONDITIONS/PHYSICAL DEMANDS Ability to maintain punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards. Constant sitting, handling, feeling, talking, hearing, tasting/smelling, and near vision. Frequent lifting up to 10 lbs.

Frequent twisting, reaching, midrange vision, far vision, depth perception, and field of vision. Occasional lifting up to 50 lbs. Occasional standing, walking, lifting, carrying, pushing, stooping, kneeling, crouching, squatting, visual accommodation, and color vision.
