MCSO Sr Adm Support Asst-Facility Development

Salary Range: $20.00- $25.00

This is a non-exempt position. Pay rates are based on education, skill, experience level and internal equity. Internal equity considerations include an assessment of the applicant's salary history and qualifications in comparison to the market rate and requirements for the job.

Position Summary

The MCSO Sr Administrative Support Assistant position is an 80-hour bi-weekly Monday through Friday position. The goal of the Senior Administrative staff is to provide administrative support to ensure efficient operation of the Facility Development/Support Services Division. The Senior Administrative staff will support Facility/Support Services management and staff through a variety of tasks related to the agency's communications. The Senior Administrative staff will be responsible for confidential and time sensitive material. The Senior Administrative staff shall familiarize themselves with the agency's practices, and procedures. Good attendance is a must.

The MCSO Sr Administrative Support Assistant shall have the ability to effectively communicate via phone and email, ensuring that all Senior Administrative staff duties are completed accurately and delivered with high quality and in a timely manner.

Senior Administrative Responsibilities

  • Answer and direct phone calls

  • Organize and schedule appointments and meetings.

  • Maintain contact lists.

  • Produce and distribute correspondence memos, letters, faxes, and forms.

  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

  • Assist in the preparation of regularly scheduled reports.

  • Order office supplies and submit facility purchase orders.

  • Submit and reconcile expense reports.

  • Provide information by answering questions and requests.

  • Be able to handle multiple projects.

  • Prepare and monitor invoices.

  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.

  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipts of supplies.

  • Maintain renewals, facility inspection updates, audit certification updates for management and staff alike, general knowledge of the American Corrections Association documentation.

  • Assist in orchestrating agency audits.

  • Contribute to team effort by accomplishing related as needed.

  • Performs other unscheduled duties.

Minimum Qualifications

High School Diploma or G.E.D. and/ or four years of clerical experience in area of assignment; or an equivalent combination of training experience. Knowledge of applicable laws and regulation departmental policies and procedures are required at this level. English speaking preferred, can be bilingual.

Proficient computer skills in Microsoft Office, strong verbal, and written communication skills, comfortable with routinely shifting demands, high degree of attention to detail, data entry experience, and have working knowledge of general office equipment.
