Job Summary: Perform purchasing function for medical/surgical items for the Operating Rooms.

Essential Responsibilities:

  • Establish par levels for all supplies with manager of designee of unit. Review par levels of all special order items on a daily basis and reorder, as needed. Review daily schedule to determine urgent replacement on minimal par level items.

  • Review all patient supply charges to determine appropriate charge per procedure and reorder, as necessary. Enter purchase orders with appropriate vendor for goods and services. Identify and contact sources for supplies; review literature, meet with vendor, coordinate meetings with key personnel and consults with purchasing for pricing.

  • Communicate back order concerns and provide new sources of substitutes to satisfy departmental requirements. Obtain verbal and written quotations for goods and finalize pricing with Purchasing Department.

  • Perform all necessary follow-up and expediting activities to ensure delivery requirements including reconciliation of order receiving. Collaborate with distribution personnel to ensure availability of hospital inventory for perioperative services. Review supplies budget and support financial analyst with monthly variance report.

  • Maintain historical purchasing files, catalogs, pricing, and reference information; including all incoming and outgoing requests, purchase orders and contracts. Maintain accurate data entry requirements, interact with purchasing and distribution departments concerning questions related to supply sources, pricing, and procedures.

Required Qualifications:

  • High School diploma or GED required. Bachelor's degree preferred.

  • 3-5 years related work experience required.

  • Two to four years of work related experience.

  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications. May produce complex documents, perform analysis and maintain databases.


  • Decision Making: Ability to make decisions that are guided by general instructions and practices requiring some interpretation. May make recommendations for solving problems of moderate complexity and importance.

  • Problem Solving: Ability to address problems that are varied, requiring analysis or interpretation of the situation using direct observation, knowledge and skills based on general precedents.

  • Independence of Action: Ability to follow precedents and procedures. May set priorities and organize work within general guidelines. Seeks assistance when confronted with difficult and/or unpredictable situations. Work progress is monitored by supervisor/manager.

  • Written Communications: Ability to communicate clearly and effectively in written English with internal and external customers.

  • Oral Communications: Ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families and external customers.

  • Knowledge:
    Ability to demonstrate full working knowledge of standard concepts, practices, procedures and policies with the ability to use them in varied situations.

  • Team Work: Ability to work collaboratively in small teams to improve the operations of immediate work group by offering ideas, identifying issues, and respecting team members.

  • Customer Service: Ability to provide a high level of customer service to patients, visitors, staff and external customers in a professional, service-oriented, respectful manner using skills in active listening and problem solving. Ability to remain calm in stressful situations.

Physical Nature of the Job:

Light work: Exerting up to 20 pounds of force frequently to move objects. Some elements of the job are sedentary, but the employee will be required to stand for periods of time or move through out the hospital campus

The Dana-Farber Cancer Institute (DFCI) is committed to providing outstanding departmental management to DFCI faculty engaged in research. The purpose of the Departmental Grants Management Specialist (DGMS) is to provide support to faculty preparing grant applications (Sponsored Research) and managing finances of the faculty portfolio after the award (Finance). Finance includes managing accounts associated with grants, gifts, strategic centers, and other types of funding. This position provides financial information, guidance, analysis and support to faculty. Sponsored Research includes reviewing sponsor eligibility and application requirements and being responsible for the entire award application excluding scientific content. In addition to the grant management responsibilities described, the position may include special projects either within the department or across departments, supervising junior staff, training, and mentoring. Responsibilities * Develops budgets and budget justifications for award proposals. * Sponsored Research (Pre- Award) * Proactively works with faculty and/or professional staff to identify funding opportunities and prepare applications for grants in compliance with sponsor guidelines and Institute standards for excellence and timeliness. * Responsible for the timely and accurate completion of entire proposal (excluding scientific content) for accuracy, presentation, and compliance. This includes but is not limited to all administrative pages, narratives for non-scientific areas of the grant (e.g. data sharing plan, resource sharing plan, human subjects, vertebrate animals, etc.), and appendices * Responsible for oversight of grant submittal process, including monitoring the application review process and submitting supplemental information. Works with faculty to review summary sheets and plan responses/revised applications, if applicable, and complete any JIT or program requests. * Assists with all progress reports and ensures compliance and responsiveness with sponsor guidelines and requests. * Finance (Post- Award) * Upon award, finalizes the budget and works with Grants & Contracts and Research Accounting to get the award set up properly in a timely manner. * Reviews Notice of Award for any budgetary or other restrictions/requirements. Works with faculty to assure understanding of reporting and other requirements of PI. * Reviews budget adjustments, restrictions, required responses with faculty and ensures a timely response to the sponsor. * Manages budget spending to guidelines, monitoring and reviewing allocation of research funds, grant balances and charges, ensuring appropriate use of funds under investigator control, both in terms of sponsor/external regulations and Institute policy. Calculates overhead and fringe benefit charges; purchases equipment; ensures payment of salaries; and generates spreadsheets. * Compiles and analyzes fiscal data; develops updates, disseminates accurate and complete financial information to ensure compliance with all requirements of externally funded programs, performs related duties as assigned. Directs and coaches the work of others on most all grants and funding. Manages all types of grant applications and funding, but may require assistance with spore grants. Does not need regular input and direction, manages the whole grant process and the work of others. Ability to assess quality of work and people. Works as part of a team to influence the direction of work and relationships. Qualifications * Bachelor's degree preferred. * 5-8 years of experience preferred, but candidates with less experience will be considered; job title will be commensurate with experience. * Sponsored Research (Pre- Award) experience is preferred but not required. This includes but is not limited to: * Understanding sponsor guidelines and helping investigators adhere to them when applying for grants. * Ensuring that all parts of the grant (excluding scientific content) are correct prior to submission. * General accounting or grants accounting experience preferred but not required.
