Position Purpose

The Creative Services Project Specialist will lead, facilitate, and coordinate the execution of projects within the Marketing Department from beginning to end. The project specialist will schedule and lead stakeholder meetings, create time estimates, organize projects through our project management system, act as a liaison between the creative team and the client, and help solve problems during the course of the project.

RESPONSIBILITIES

  • Meets with project owners to review requests, project objectives, creative briefs, and helps get needed information.

  • Owns the outcome of the executed work by reviewing the execution based on the creative brief and project goals.

  • Schedules and leads kickoff meetings.

  • Schedules and attends brainstorming meetings.

  • Creates a time estimate and schedule to clearly illustrate the timeframe of the project.

  • Gets creatives and clients signoff to the schedule and creative brief.

  • Sets up, prioritizes, assigns, and manages the project through Wrike.

  • Sets up folders on the server and ensures each project is archived.

  • Acts as the liaison between the creatives and the client to communicate changes to the project and/or schedule.

  • Schedules periodic check-ins (through Wrike, phone, email, and/or in-person) with the client and creative to ensure project goals are being met.

  • Helps solve problems during the course of the project (knocking down roadblocks).

  • Always up-to-date on the status and direction of the project while the project is being worked on.

  • Helps track down reference projects, is knowledgeable of the clients brand, and similar projects that have been done in the past.

  • Generates weekly reports for the Creative Director on statuses of projects.

QUALIFICATIONS

Education/Certification:

  • Bachelors degree in marketing, communications, business administration, graphic design, or similar field.

Experience Required:

  • At least one year of experience coordinating projects.

  • Experience in a creative or marketing department preferred.

  • Ability to manage a large list of projects and work with a large number of people within diverse disciplines.

  • Good verbal and written skills.
