Responsibilities:

The Marketing Project Manager manages all aspects of launching various marketing projects within the Marketing Department. Projects may include brand campaigns, launching marketing initiatives for new partners and new programs at existing partner schools. Other projects may include technology and channel marketing efforts. This individual will work with team members both inside the Marketing Department as well as other departments and vendors to achieve goals.

Additional responsibilities:

  • Manage project development from initiation to closure.

  • Be accountable for project results along with project sponsor.

  • Work with Project Sponsor and stakeholders to complete project charter, technical requirements, and business requirements to outline the project's scope, goals, deliverables, required resources, budget, and timing.

  • Complete work breakdown structure to estimate effort required for each task.

  • Provide project schedule to identify when each task will be performed.

  • Clearly communicate expectations to team members and stakeholders.

  • Run weekly team meetings.

  • Act as mediator between stakeholders and team members.

  • Resolve any issues and solve problems through project life cycle.

  • Effectively manage project scope by ensuring any changes to scope are documented and approved with project change request process.

  • Track and report project milestones and provide status reports to sponsor.

  • Lead, coach, and motivate project team members on a proactive basis.

  • Determine how results will be measured and complete a post-project retrospective to determine how well results were achieved.

  • Develop tools and best practices to management and execution of projects.

  • Safely freeze or dismantle unsuccessful or re-prioritized projects.

  • Ensure all project documents are safely archived following project's completion.

Requirements:

  • BS/BA in business, marketing, communication or related field is required.

  • 3-5 years of experience in project and/or marketing management.

  • PMI/PMP certification is a major asset.

  • Familiarity with project management tools and/or software packages.

  • Demonstrated leadership with managing people.

  • Experience working in a team-oriented, collaborative environment.

  • Strategic, operational, and technical marketing and management skills.

  • Rapidly adapt and respond to changes in environment and priorities.

  • Excellent communication, leadership, problem solving and analytical skills.

  • Ability to elicit cooperation from senior management and other departments.

  • Self-starter and highly motivated. Must be capable of working independently, yet collaboratively, within a fast-paced environment.

  • Must be resilient and flexible, with a proven ability to deliver results within dynamic marketplace and evolving organization.

JOB SUMMARY: Provide project management support to Project and/or Program Managers on assigned accounts, ranging from updating schedules and estimates in Workamajig, to creating and managing the routing of project deliverables for approvals with concentration on maintaining on-time delivery to client partners. This role serves as a liaison between the agency's Creative, Project Management and Account Management teams as well as outside contractors and vendors. Daily coordination and interaction with Project Managers, Program Managers and creative teams to route/traffic deliverables across agency departments and outside vendors/contractors, maintaining on-time delivery to client partners and keep archival inventory of completed projects in system. MAJOR RESPONSIBILITIES: Project Lifecycle Maintenance * Monitors project schedules daily to keep work flowing past bottlenecks * Flags all project schedule timeline or scope challenges for Program/Project Managers * Ensures all deliverables route for review to appropriate internal/external team members + stakeholders within project timeline * Creates and maintains job jackets throughout Project Lifecycle Program/Project Administration * Keeps all departments informed, on-task + on-schedule throughout deliverable creation * Assists Project/Program Managers with coordination of kick-off and status meetings and meeting notes distribution * Pulls and distributes project status reports Project Close out and Archival * Finalizes project close out in WMJ system, * Ensures archival of final project files in XDAM with metadata detail and collections assignment * Ensures all project outside costs are accurately coded and represented in internal billing systems (i.e. SNAP, SRM, Versa) EDUCATION: High school diploma or GED is required. Bachelor's degree from a four year college or university is strongly preferred. Degree disciplines recommended: Marketing, Communications, Marketing Communications, Advertising, Project Management, Business, Organizational Management, Graphic Design, Art Design EXPERIENCE: Proven comparable working experience may be taken under consideration in lieu of 4 year degree. CERTIFICATIONS, LICENSES, REGISTRATIONS: Not required, but PMP or any other Project Management courses and certifications a plus. ADDITIONAL INFORMATION: Candidate must be proficient in Microsoft Office Suite programs, including but not limited to Outlook, Word, Excel, PowerPoint. Strong understanding and proven experience with creative workflows for print, video & digital production required. Experience with project management workflow software (Workamajig, Basecamp, Workfront, MS Project, etc.) a plus, Workamajig strongly preferred. Proficiency or working knowledge of MAC OS and Adobe Creative Suite also a plus, but not required. Preferable skills for success in role includes but not limited to: * Strong project management skills, including strong attention to detail and ability to manage multiple demands simultaneously in fast paced environment. * Excellent communication, organizational, and problem-solving abilities. * Basic understanding of studio/graphic arts and creative workflow processes. * Fundamental knowledge of print production processes and techniques (artwork, pre-press, printing) is beneficial. * Fundamental knowledge of digital development and production processes and techniques (web, mobile, social, etc.) is beneficial * Fundamental knowledge of video production processes and techniques (photo/film shoot, AV editing and/or motion graphics development) is beneficial.
