Position Summary:

Working primarily from our office in Columbia, MD, the Marketing Project Coordinator will report directly into the Creative Services Manager and will be responsible and accountable for coordinating the creative project workflow for internal designers and writers to deliver creative assets for acquisition, nurture and retention marketing campaigns. The Marketing Project Coordinator is also accountable for communicating timelines to stakeholders, reviewing creative briefs and assisting in brief development as-needed, monitoring the progress of creative team against deadlines and project assignments.

Primary Responsibilities:

  • Responsible for the day-to-day coordination of creative projects within our project management software -- from intake to completion -- as well as liaising between our internal creative team and various key departments and stakeholders throughout the company as it relates to brief questions, timelines, reviews and approvals

  • Manage the asset production queue building timelines, assigning tasks and setting deadlines while effectively communicating timelines and progress to stakeholders

  • Manage all day-to-day project coordination within our project management software and serve as the point of contact for platforms questions and trainings.

  • Work closely with Creative Services manager and internal teams to create/refine project documentation for projects that include but are not limited to advertising campaigns, content development, websites, email, SEM, social media, events, print collateral, customer care, etc.

  • Review/approve project requests to ensure creative team has the right information and direction to work from (i.e. specs, samples, deadlines)

  • Schedule and recap kickoff meetings as-necessary with project stakeholders and creative team to ensure alignment on creative needs

  • Maintain standardized creative services process to support marketing channel managers with their campaigns across all three lines of business (partner schools, partner programs, iNaCA)

  • Organize and maintain asset libraries as dictated by strategy outlined by Creative Services Manager

  • Assist Creative Services Manager in working with channel teams to regularly aggregate performance data of creative executions to inform quarterly creative performance reviews.

  • Plan and manage any freelancers, vendors or outsourced capabilities as needed

  • Process invoices for the creative services team and manage budget with oversight by Creative Services Manager

  • Assist in the vendor and warehouse management of RR Donnelley.

General Responsibilities:

Champion our internal creative process and utilize a project management software system to track workloads

Act with a strong customer mindset (both internal and external) and is a visible advocate for the customer building strong relationships with customers and uses those to improve their experience and outcomes.

  • Responsible for ensuring effective cross-functional communication between the Creative Services team and other teams throughout the company.

  • Contribute to the creative process and creation of assets to ensure they are in line with the approved marketing briefs and strategies

  • Bachelor's degree in Marketing, Communications or other related field

  • 1 years of creative/marketing agency and high volume creative project management experience

  • Incredibly organized with a natural drive to follow every project, big or small, to completion.

  • Experience with project management platforms

  • Knowledge of project management best practices

  • Familiarity with agile principles

  • Understands that deadlines and on time delivery of assets with the ability to change gears on the fly and reprioritize deadlines quickly when needed is critical to success.

  • Has an innate curiosity and hands-on approach.

  • Is a strong communicator, able to speak comfortably and clearly to key stakeholders

  • Has the energy and drive to deliver the best work in the industry and adaptability to a range of time and budget constraints.

  • Is a self-starter with a strong aptitude for solving problems individually and in teams, with the ability to propose alternative, improved solutions when possible.
