We are looking for an Executive Assistant/ Marketing Coordinator with a passion for the beauty industry, marketing experience and high energy. This role will provide administrative support to the Sr. Director of Marketing and oversee our social media accounts. Position requires multi-tasking, organization, problem solving, excellent communication skills, and balancing priorities. Were seeking a self-motivated, quick-thinking, and creative person to work closely with the entire marketing team.

JOB RESPONSIBILITIES

  • Supports execution of all activities related to marketing communications.
  • Preparing correspondence, including emails and follow-ups
  • Coordinating internal and external meetings including but not limited to one-on-one meetings, interviews, team meetings, full staff meetings, etc.
  • Managing special projects and working under pressure with high-performance standards
  • Coordinate messaging and copy for social channels, emails, branding decks, and promotional assets
  • Organize and maintain marketing & social media calendars
  • Design and implement a social media strategy to align with business goals.
  • Take a data-driven approach to drive engagement metrics.
  • Stay up-to-date with current technologies and trends in social media, design tools, and applications.
  • Create authentic, engaging content from scratch.
  • Manage incoming DMs, comments, and questions from the audience.
  • Compile meeting materials and schedule meetings /timeline reminders
  • Provide any support within the office as needed

Requirements

  • Bachelors degree (B.A.) or equivalent, 2+ years related experience, or an equivalent combination of education and experience preferred.
  • A proven track record of attention to detail, meeting strict and competing deadlines, and of overall workplace excellence and success
  • Excellent verbal and written communication skills
  • Strong proficiency in spelling and grammar
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions.
  • Commitment to excellence and high standards.
  • Ability to work independently and as a member of a team.
  • Acute attention to detail.
  • Positive, pleasant and outgoing personality
  • Ability to work at our office in Downtown Los Angeles M-F, 9:30AM to 6:30PM

Reporting directly to the Chief Creative Officer and indirectly to the CAO/CFO of Strategic Communications, the Executive Administrative Assistant provides high level administrative and operational support to the Chief Creative Officer and the Marketing and Special Events department. The incumbent manages the Chief Creative Officer's daily workflow, complex calendar and travel schedule; schedules regular meetings with campus partners, administrators, senior staff and external vendors; coordinates the day-to-day operational support of the office; manages logistics and schedule meetings and events, coordinates travel arrangements and reimbursements; provides phone assistance; composes, edits and routes correspondence and meeting summaries; collaborate with functional teams to coordinate Marketing efforts, prepares presentation materials and agendas; coordinates meeting logistics such as campus parking, invitations, catering and nametags. Processes travel and entertainment reimbursements and provides backup support for financial duties including processing of purchase orders; contributes to the purchasing and stocking of office supplies and equipment; maintains files and databases; analyzes information and data for a variety of reports and proposals; maintains relationships with important external constituencies, administrators, faculty, staff, and students; composes, edits, and routes correspondence and meeting summaries. Duties are performed onsite during normal office working hours and the incumbent maintains consistent and punctual attendance. Minimum of 5 years' experience in executive administrative management and/or providing support to an executive level administrator. Required 2. Ability to remain calm during urgent or emergency situations and demonstrate logical thinking. Required 3. Outstanding written communication skills, specifically writing skills to compose a variety of documents (correspondence, narrative/statistical/analytical reports, policies, procedures, project and grant proposals, and job descriptions) that are logical, concise, and grammatically correct. Editing skills to review and correct correspondence and reports for grammar, spelling, syntax, and content. Required 4.
