The Marketing Assistant is responsible for providing administrative and project support to the VP, Marketing and Director, Marketing. This position acts as the voice of the Marketing Department and also serves as the administrative hub for the team, assisting with all aspects of day-to-day management required for its successful and efficient operation.

Basic Qualifications

  • 2+ years of professional experience, BA or equivalent degree in Marketing preferred.

  • Passion for live entertainment.

  • Exceptionally strong time management and organizational skills; high attention to detail from start to finish.

  • Ability to be nimble and juggle many tasks at once is a must. It will help tremendously to always be one step ahead and to solve for issues before they arise in an effort to keep the team moving in the most efficient manner.

Responsibilities

  • Prioritize and manage multiple Outlook calendars including meeting scheduling and prioritizing changes to the schedule in real-time as the day requires.

  • Book and facilitate meetings, including communicating with participants regarding time, location, attendees, agenda, hosting guests, and refreshments. Book conference room space, teleconference and video-tele-conference as necessary, often across multiple locations and time zones.

  • Answer phone calls promptly and cordially and route them accordingly.

  • Serve as the "administrative hub" of the marketing department, including meeting notes, meeting materials, and department supplies.

  • Coordinate domestic and international travel arrangements via Corporate Travel. Provide complete and accurate itineraries.

  • Prepare expense reports (for VP plus five direct reports and ensure corporate credit card payments are processed on a monthly basis.

  • Manage a heavy and consistent volume of department invoices in a timely fashion with the utmost degree of accuracy and tracking. Build skills to become an expert SAP user.

  • As needed, track project status and manage stakeholder review through to completion. Maintain an awareness of key project stakeholders while managing and prioritizing tight timelines with both internal and external deadlines.

  • Produce and distribute weekly social media and web traffic reports. Provide social media and community management support as needed.

  • Manage ticket requests on behalf of the marketing team and their internal and external partners.

  • Maintain order and organization to department, including a large volume of electronic filing and asset management support.

Among the myriad of functions and responsibilities, our College Marketing Reps organize listening events, interact closely with various campus groups, independent record stores, lifestyle shops (skate shops, cafes, barber shops, clothing stores, etc.) and are also very active across social media platforms. We ask our reps to spread awareness for our priority projects via social media, therefore you will be asked to utilize your personal accounts. This is a part time role that requires a commitment of approximately 20 hours a week. The College Rep position is a great way to learn about the music business, gain marketing experience, and get your foot in the door of one of the world's leading entertainment companies. We work with ALL Sony companies including but not limited to: Columbia Records, Epic Records, RCA Records, Legacy Recordings, Sony Masterworks, Sony Nashville & Sony Electronics.
