Role Purpose:

To provide administrative support to the Senior Vice President of Creative Marketing and to the Vice President of Creative Production for E!. This position will interface with all members of the creative and production operations team and provide a full range of support for both the Creative and Operations departments.


  • Support all administrative needs for the heads of Creative Marketing and Production by professionally answering and managing phones, managing and preparing all correspondence, expenses and travel arrangements and coordinating calendars, including the scheduling of meetings and appointments

  • Development, drafting and creation of department presentations and research decks, in conjunction with materials needed for additional E! network departments including Ad Sales, Consumer Marketing Strategy, Programming, PR, Digital/Social

  • Assist in multiple capacities on special events, such as consumer marketing programs and Upfronts

  • Facilitate awards submissions organizing the identification of spots, print, digital for Awards consideration and process entries

  • Coordinate IT and facilities services for department-wide computer/IT requests, facilities requests, wireless device requests, phones, office needs

  • Order/oversee department orders of supplies/purchases for the office (s) as needed

  • Special projects as assigned and needed, such as office redesign, brand identity idea contribution, creative idea contribution for additional departments (Programming, Strategy, PR, Digital)

  • Process and submit expense reports

  • Maintain all department records and inventory including updating contact information

  • Assist with new hire paperwork and orientation

  • Research and make recommendations on outside vendors

  • Tracking of department employees: vacation, sick and personal time tracking

  • Department P-Card reconciliation, reporting and tracking

  • Managing all tech needs/setup/testing/asset delivery for presentations across multiple conference rooms, computers, projectors, mobile devices, for department management, team members, as well as additional E! department heads

  • Compose letters, forms, procedures, proposals, and other correspondence as appropriate for department(s)

  • Department-wide and cross-departmental meeting coordination, location, material gathering, and agenda preparation

  • Serve as liaison to creative & production team as well as other departments, external vendors, and consultants

  • Clerical support includes filing, faxing, copying, updating contacts, and other duties as needed

  • Provide admin support for Creative and Production VPs & Directors

  • Assist in sending/receiving materials to/from outside vendors, etc.

  • Provide backup assistance to other team members, including production, writers, and producers

  • Interface with the creative community as well as all levels of the E! and the NBCU Organization


  • Bachelor's Degree

  • Minimum 1 year professional experience

  • Proficiency in Microsoft Office including Excel, Word, PowerPoint, and Outlook

Desired Characteristics

  • Minimum 1 year experience working in the television or entertainment environment

  • Exceptional organizational and communication skills, both oral and written

  • Professional and discreet with the ability to handle sensitive and confidential information appropriately

VIEW JOBS 10/13/2018 12:00:00 AM 2019-01-11T00:00 Responsibilities ROLE: The Project Manager is a primary Production and Project Management point of contact for E!'s Creative Marketing Network Partnership campaigns. This is a key, multidisciplinary role that helps enable the accurate development, execution and delivery of materials including print, digital, and on-air promotions. Project Managers work with multiple internal and external departments, clients and vendors -- daily ensuring effective and diligent workflow. They are important in maintaining and growing these relationships on behalf of E! Entertainment, Network Partnerships and NBCUniversal. This role reports to the Sr. Director, Creative Production. RESPONSIBLITIES: * Managing the creative and production process from concept through completion for all video, digital and print projects * Investigating, troubleshooting and problem solving, providing solutions for resource, workflow, scheduling and budgetary concerns * Working with and supporting the Internal Creative team and Network Partnership team to innovate, design, produce and execute exemplary creative elements and campaigns * Reviewing and analyzing creative briefs/job requests * Negotiating and maintaining project budgets, timelines and deliverables, managing workflows internally and externally * Budgeting including but not limited to: data entry, forecasting, tracking, submitting invoices, actualizing, pacing, accruals, re-allocation, etc. * Being the point of contact for Network Partnerships, Creative/Consumer Marketing, Shoots team and the Production Management team in regards to timelines for pre-production, production and post production for Network Partnerships projects * If needed, researching, locating, licensing, purchasing and tracking stock footage, stills * Liaising with Legal, Rights & Clearances, Programming/Development, Talent Relations, PR, Production, 3rd Party Productions, Sales Clients, Network Partnerships, Vendors, etc. to obtain and ensure legal approval on all materials used in projects and to disseminate information of restrictions to all affected parties * Archiving and tracking all deliverables and assets * Fully executing and following company guidelines regarding all required legal paperwork, including, but not limited to: NDA's, SOW, PSA, W-9's, etc. * Quality control checking all material/all versions (video, print, digital) * Attending shoots and operating as the Production Producer for the Creative Marketing/Network Partnership department * Working with the Post Department, Creative Production team, Network Partnerships, Traffic and Scheduling teams on the scheduling and delivery of material for on-air, online, etc. release Qualifications/Requirements * Minimum 3 years project management or post production experience * Must be current contractor in this space at NBCUniversal or a similar company Desired Characteristics * Strong knowledge of at least two of these mediums: digital, video, print * Strong leadership and negotiation skills * Ability to perform under pressure * Ability to multi-task * Detail-oriented * Articulate, flexible, collaborative * Proactive * Able to work weekends on short notice NBC Universal Universal City CA
