General Overview

Working under the direction of an Account Executive, the account coordinator supports the work of the Marketing Account executives by providing administrative support for the account teams, creating project plans, timelines and budget for fund development and program related activities.

  • Ability to translate brand guidelines and elements across various types of content

  • High attention to detail

  • Demonstrated ability to manage projects involving multiple departments and stakeholders; ability to manage many competing priorities and communicate effectively when priorities shift

  • Demonstrated ability to work effectively independently and as part of a team

  • Strong problem solving and critical thinking skills

Responsibilities

  • Works with Account teams to oversee development, production and execution of projects

  • Helps identify new project opportunities

  • Sets up meetings with the core project team

  • Works with account executives and managers to respond to business requests and needs

  • Tracks budget and notes for key deliverables, owners and dates

  • Assists in development of project and creative briefs

  • Shares feedback with internal and external stakeholders

  • Maintains project schedules and delivers assets to channel owners.

  • Works with appropriate staff to see creative development and review to completion.

  • Manages details of PO and contract processes.

  • Prepares status and wrap up reports

  • Tracks analytics and success metrics for projects

  • Prepares materials for presentations and supporting documents for key projects as directed.

Experience
2-3+ years' marketing/communications experience

Education

Minimum bachelor's degree required

Budget Responsibility

Responsible for tracking established budget and managing POs

  • Philanthropy staff

External Contacts

  • Rotarians

  • Communications consultants and freelancers

  • Agencies (limited to administrative support)

  • Others as appropriate and assigned

This includes providing administrative support such as presentation preparation, meeting agendas, outcomes and setup, handling communications to colleagues and Rotary club members. This also includes: * Supporting the team for meetings of the Board of Directors, Rotary Foundation Trustees and Communications Committee, including communication with members, drafting items for advance materials, preparing meeting minutes, and ensuring timely distribution of those items. * Coordinate contract review process for significant communications agency vendors. * Project managing Communications initiatives and projects as assigned. Communications In this role, you are the communicating and interacting with constituents, colleagues and others. The position is responsible for: * Handling inquiries to the marketing & communications team, responding to general inquiries via email or phone. * Maintaining and writing materials for internal portal pages * Responding to Rotarian requests for marketing materials. Administrative * Preparing expense statements and reconcile corporate credit card expense reports. * Maintain key Communications group electronic files (budgets, contracts, etc.) * Coordinates the substantial procurement services for the group by creating purchasing orders. * Serving as the liaison to the Rotary Finance team * Coordinating all aspects of the development of communications budget * Maintaining staffing updates Other duties as assigned * Other duties may include, but are not limited to, working with Rotary's customers on inquiries, working on special projects, and testing system updates.
