SUMMARY

Effectively check guests into and out of the tour assignments for that morning, Coordinate the general office administration for the Vice President of the VOA. Provide clerical assistance to the General Manager and Senior Management as necessary. Provide assistance with routine and special projects for the Vice President, General Manager and/or Senior Management.

DUTIES

Assist with researching, resolving, and documenting internal and external issues

Assist with preparation of outlines for projects, flow charts, presentations, and meetings as required.

Compile and distribute daily and weekly statistical data to members of management, including reports and spreadsheet information about the resorts.

Assist with the development and maintenance of policies and procedures and organizational charts for all departments.

Coordinate meetings, make appointments, take detailed minutes, and report back to attendees.

Coordinate paperwork, for example, PARs, Terms, New hire paperwork.

Coordinate general office administration including correspondence, photocopying, file maintenance, and supply inventory.

Answer multi phone lines, take messages and answer general questions regarding complaints and inquiries

General computer skills are essential and proficient in Word, Excel, and PowerPoint.

EDUCATION and/or EXPERIENCE

Associates Degree with 2 years administrative experience, or equivalent combination thereof.

LANGUAGE SKILLS

Excellent organizational, communication and grammatical skills necessary. Ability to write reports and correspondence, and create presentations in English. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS

Addition, subtraction, multiplication, division, fractions, and percentages.

REASONING ABILITIES

Must be able to carry out detailed written or oral instructions. Ability to define problems, collect data, establish facts, and draw valid conclusions.

DUTIES Process employment applications Process all paperwork for state licensing Keep track of license renewals Maintain active and inactive license status updates Provides and process New Hire Paperwork for new team members and reviews paperwork for completion Route team member for drug testing and team member id Organize and maintain filing system for training programs Update and input class schedules Maintain predetermined inventory levels for office and training supplies Responsible for ordering supplies and training materials as directed. Maintain all team member records and team members weekly timecards through the use of the Kronos systems. Maintain and or update records within the Training Database. Composes, types and or distributes correspondence for all Sales Training Executives and Management. Handles distribution of incoming and outgoing mail Make copies of correspondence, collateral material for training or other training materials as necessary. This function also includes the collation of training materials in preparation for training classes. Answer and screen telephone calls for all Sales Training Executives and Management Coordinate schedule and makes appointments for all Sales Training Executives and Management including interviews for potential new hires. Follow up communication, emails, calls, text for potential new hires regarding license requirements Make travel arrangements for all Sales Training Executives and Management. Responsible for coordinating the expense accounts and check requests. SUPERVISORY RESPONSIBILITIES Supervises one Receptionist in the Sales Training department. Supervisory responsibilities include scheduling and assigning work, and disciplining team member.
