SUMMARY

The General Clerical Clerk will be responsible for printing and organizing engineering job packets based on the scheduled job dates on the floor. This role requires meticulous attention to detail, strong organizational skills, and the ability to manage multiple tasks efficiently. The clerk will ensure that all job packets are accurately compiled, filed, and easily accessible for the production team.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Job Packet Preparation:

  • Organize engineering job packets according to scheduled job On Floor dates.

  • Print documents (Acknowledgements, Legends, Specification, Drawings, etc.) related to each job packet in a systematic manner.

  • Ensure all required documents are included and accurately filed in the job packets.

  • Assist with Bill of Material (BOM) and Work Order Traveler (WOT) comparison verification.

  • Documentation and Filing:

  • Maintain and update records of job packets.

  • Ensure that all documentation is current and accessible to the production team.

  • Assist in the creation and maintenance of filing systems for easy retrieval of job packets.

  • Data Entry and Management:

  • Update job statuses and other relevant information as required.

  • Communication and Coordination:

  • Interact with production staff to verify job packet requirements and deadlines.

  • Communicate any discrepancies or issues with job packets to the relevant personnel promptly.

  • Collaborate with other clerical associates to ensure smooth operations and workflow.

  • General Clerical Duties:

  • Answer phone calls, emails, and other communications related to job packet inquiries.

  • Assist with other administrative tasks as needed, including photocopying, scanning, and mailing documents.

  • Maintain office supplies inventory for production team.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of organization.

SKILLS

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to learn usage of Integra & Visual. Strong organizational and time management skills. Excellent attention to detail and accuracy. Good verbal and written communication skills. Ability to work independently and as part of a team.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
