The Manager of Grants, Training and Contracts is a key member of the Global Medical Affairs organization and sits within the Medical Operations function. This role will be responsible for development and support of three main areas: 1) Grants administration, including those for medical sponsorships, independent medical education and non-medical grants, 2) medical affairs training, including on-boarding and tracking, and 3) medical affairs contracts management. Under the oversight of the Medical Operations Director, this individual will support and lead departmental process improvement initiatives in all 3 areas.

What you'll dive into

Grants administration

  • Manage and evaluate all incoming grant requests and assess for appropriateness and compliance with Arena criteria, policies and procedures

  • Process educational grants and grant agreements

  • Manage financial and contractual aspects of assigned projects, including vendor relationships

  • Manage educational grant budget and report accruals to the Medical Affairs Leadership Team in partnership with Finance

  • Support setup and maintenance of the Educational Grant Management System (EGMS) and the Educational Grants Review Committee (EGRC)

  • Prepare tracking tools to ensure key stakeholders are updated on grant status and activities

  • Develop and maintain knowledge of the continuing medical education landscape which may impact Arena policies and procedures

  • Ensure supported educational programs are consistent with ACCME, OIG, FDA or other guidelines


  • Responsible for the administration of training programs, including e-learning modules

  • Select, develop, and manage relationships with vendors

  • Manage simultaneous learning projects, with the ability to collaborate on content reuse across multiple stakeholders

  • Support implementation of training programs and ensure consistent and comprehensive training is provided on an ongoing basis starting with on-boarding

  • Support trainers/facilitators in gathering or developing training content

  • Establish and implement key metrics to track and communicate value and impact of learning initiatives to all stakeholders

  • Proactively learn new digital learning technologies, and new learning methods

  • Attend and facilitate training for relevant training programs and vendors


  • Coordinate with legal to draft and execute confidentiality agreements and project contracts

  • Follow up and track status of drafts and receive final executable copy and route for internal/external signature as necessary

  • Assign fair market value (FMV) assessment of HCP project participants utilizing latest reports

  • Ensures data entry within the contracts system is complete and accurate

  • Provide metrics as needed through running reports from the contracts system

What we expect

  • Bachelor's Degree ideally in a health-related field, or equivalent preferred

  • 2-5 years of biopharmaceutical and/or agency/medical education company experience required

  • Project management skills are required

  • Innovation displayed in past accomplishments is highly desired

  • Excellent verbal and written communications skills are required

  • Experience in processing contracts required

  • Experience in managing vendors is required

  • Experience in managing educational grant management systems is preferred

  • Relevant experience leading training initiatives

  • Background in metrics and reporting

The StrongStart Statewide Training and Industry Navigation Manager will oversee the Training Specialists at each of the Professional Development Centers statewide to support consistent quality in service delivery and content statewide. Examples of Duties: * Responsible for oversight of training, development of new training content, and industry navigation at the state and regional levels; * Work with Coaching System Manager and PDC Manager to ensure that whenever possible training is aligned with continued technical assistance; * Work with Grant Coordinators to ensure the provision of technical assistance at the program level for programs that have been prioritized by EEC; * Work with the Pyramid Model Consortium staff to support the delivery of training and technical assistance and to build regional capacity to enhance the implementation of Pyramid Model practices; * Maintain a proactive approach to industry navigation in order to promote increased access to T/TA services; * Work with Statewide PDC Manager and regional PDC Coordinators to practice preemptive industry navigation and to establish clear protocols for documenting industry navigation services; * Support the development of age-appropriate professional learning content and build the capacity of each PDC to provide T/TA for age-appropriate services for all eligible educators and programs; * Ensure that all training and technical assistance received by a program or educator has a clear and strategic connection to that program's QRIS CQIP and be aligned with an individual's career pathway; * Support the Grant Coordinators in the development of professional learning content and materials, ensuring a higher level of consistency and quality; * Work with Grant Coordinators and Statewide PDC Manager to provide all PDCs with training content, ensure that trainings are provided consistently and equitably across all regions, collaborate with the PDCs to adapt the delivery of this content as needed, monitor the availability and quality of trainings delivered by PDCs and/or third-party vendors, and ensure that trainings are genuinely accessible to ECE/OST educators in each region. Qualifications: Post Masters certificate/Advanced graduate education in ECE and more than 10 years of experience in Early Childhood Education.
