Education/Experience:

  • Bachelor's Degree required. A combination of relevant education and experience may also be considered.

  • A minimum of 3-5 years of experience in an office setting in Academic Affairs within higher education.

  • Demonstrated supervisory experience.

  • Proficiency in a variety of software systems, particularly Slate, Banner, SAP, and Adobe Sign.

Preferred Qualifications

  • Master's degree preferred. A combination of relevant education and experience may also be considered.

  • Experience as an employee within graduate education preferred.

Job Description

Responsible for supervising staff and implementing approved policies & procedures under the Graduate Dean in the office of the Graduate College.

Job Duties

Summary

The graduate manager role involves extensive coordination, decision-making, and administrative tasks to support the operations of The Graduate College. The responsibilities of the manager position include planning and scheduling workflow for The Graduate College, ensuring timely completion of tasks and responsibilities, and supervising the degree audit team and internal funding specialist. The manager coordinates and reviews policies in the Graduate Catalog and reviews program proposals for the Graduate Dean. This position processes admission and suspension appeals on behalf of the Graduate Dean, provides counsel to graduate advisors and staff, and makes decisions on related matters. The manager collaborates with the Systems Analyst Support and Graduate Dean on technological needs, serving as functional lead for the student information system, and implementing changes to processes in The Graduate College accordingly. The manager also reviews various reports each semester to ensure data integrity of applicant and current students and works with the Systems Analyst Support to determine coding to ensure accurate data retrieval for applicant and current graduate student reporting. In this process, the manager trouble-shoots related problems. The manager processes appointments for graduate faculty advisors and their administrative supports, grants system access, provides online training sessions, and also conducts annual security access reviews for the university systems.

Job Responsibilities

  • Develop and implement strategic workflow plans for The Graduate College, ensuring efficient operations.

  • Supervise the Graduate Degree Audit Specialists and Internal Funding Specialists, ensuring timely and accurate completion of tasks.

  • Oversee designated accounts and payroll, ensuring compliance with established procedures.

  • Coordinate and review policies in the Graduate Catalog and program proposals for the Graduate Dean.

  • Serve as a liaison to graduate admissions, processing appeals and addressing student concerns.

  • Handle suspension appeals, administer policies, and provide guidance to stakeholders.

  • Collaborate with the systems analyst and Graduate Dean on technological enhancements and process improvements.

  • Analyze reports to maintain data integrity and troubleshoot related issues.

  • Manage faculty advisor appointments and system access, conducting annual security access reviews.
