VIEW JOBS 4/14/2021 12:00:00 AM 2021-07-13T00:00 Position: Assistant General Manager Reports to: Community Executive Officer (General Manager) Location: Rancho Santa Margarita, CA SUMMARY: To be an active supporter of the Rancho Santa Margarita Landscape and Recreation Corporation (SAMLARC) community vision and philosophies, and FirstService Residential's commitment to client, staff and community. The expectation for this individual is to support the Community Executive Officer (CEO) to meet Board goals and objectives with respect to asset management. Additionally, to ensure effective and efficient day to day operation of SAMLARC facilities and operation. This position reports directly to the Community Executive Officer. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. * Provide oversight for regular and ongoing inspections of all parks and facilities for repairs, maintenance and improvements. * Ensure that the Beach Club provides superior customer service to the residents; and that the facilities are maintained at an optimal level. * Oversee and drive the Capital and Reserve project schedule. * Provide management support to the Landscape and Facilities Enhancement Committee. * Provide oversight of the park use and sport field management program. * Proactively identifies areas of improvement and makes recommendations to improve the operation of the corporation. * On-site visibility. * Work closely with landscape contractors and consultants to ensure landscape budgets are being adhered to and landscape projects are being prioritized. * Work closely with the Community Executive Officer and the SAMLARC Board of Directors to plan and implement the strategic plan, goals and objectives. * Implement the stated priority goals/issues and business plans of SAMLARC. * Ensure adherence to association policies and procedures, and compliance with corporate, civil code, state and federal obligations and SAMLARC governing documents. * Display a working knowledge of the governing documents for the purposes of initiating additional opportunities within the appropriate legal structure and causing implementation for the good of the community. * Responsible for the direct supervision and leadership of key SAMLARC teams and administering payroll and reviews for performance management. * Ensure subcontractors' adherence to specifications and that work is completed in accordance with SAMLARC standards. * Provide leadership at each meeting for SAMLARC in terms of agenda support, written and oral reports as requested on designated items, and summarize the priorities of each meeting as it relates to the community. * Provide community leadership and guidance to ensure that the needs or desires of the homeowners are being addressed. * Assist in the recruitment, hiring, training and supervision of all direct or indirect staff in accordance with FirstService Residential policies. * Assess and monitor community needs: identify opportunities for improving service delivery methods and procedures. * Attend and participate in professional group meetings. Stay abreast of new trends and innovations in fields of community management and facility maintenance. * Knowledge of all Community Governing documents. Provide recommendations on revisions. * Schedule and attend monthly staff touch base and staff function meetings. * Assist in annual budget preparation and ensure adherence to association budget. * Coordinate and maintain annual reserve study * Participate in reviewing SAMLARC policies on an ongoing basis to ensure compliance with civil code, declaration and other requirements of governing institutions. * Maintain strategic relations with identified key alliances, including but not limited to Santa Margarita Water District, CR&R Waste Management, key City departments and public utility companies. * Attend all company mandatory functions. * Comply with company policies and procedures. * Act in the absence of the CEO. * Must work effectively with co-workers, client, residents and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name; title or other respectable identifier; and respecting in the diversity of our workforce in actions, words and deeds. * Other projects and opportunities as may be deemed needed and appropriate for this position. SUPERVISORY RESPONSIBILITIES Supervise multiple associates assigned to given corporation. Other supervisors assigned to given corporation may directly report to this position as well. Regular schedule is Monday through Friday; however, hours over and above a 40 hour work week may be required. Holidays and weekends may be required, dependent on business need. Required to work the July 4th full day event and Annual Election of Directors. EDUCATION and/or EXPERIENCE: The SAMLARC Assistant General Manager will portray, but is not limited to, the following capabilities/ qualifications. * Bachelor's degree preferred or equivalent work experience. * Has a minimum of 2 years of successful management experience. * Is committed to continual learning as evidenced by attendance at seminars, industry programs, either as an attendee or as a guest speaker. * Displays strong written and verbal skills so as to instill confidence in the residents that reside within the community as well as the public that may interact through designated programs and issues. * Displays a community posture that well represents the vision of SAMLARC. * Understands bidding, maintenance and operations practices. * In brief, the following qualities are of necessity for this job position: o Management decision-making capabilities. o Strategic planning capabilities. o Demonstrates public charisma as evidenced by proven leadership skills. o Has a proven track record working with Volunteer Committees and elected or appointed Board(s) of Directors. o Is technology oriented. o Has business/management experience. o Demonstrates good client interaction and visibility. o Demonstrates effective oral and written communication skills. o Comprehension and attainment of all areas of the following skills: financial, written, verbal, negotiations, thoroughness, procedural, comprehension and compliance. o Excellent problem solver; demonstrates ability to use creative alternatives. o Assertive, PR oriented.
