TetraScience is currently looking for a Director or Manager of Finance & Administration to join our fast-growing company. In this role, you will manage a diverse portfolio of functions including accounting, FP&A, and administration. You must be analytically inclined and data-driven to develop strategies and processes to manage the complexity of a fast-growing software business. How You Will Contribute

  • Deliver accurate and timely financial reporting and accounting information
  • Oversee cash management, cost control, and risk management
  • Verify and post transactions to journals, ledgers and other records, and prepare supporting account reconciliations
  • Prepare monthly, quarterly, and annual financial statements and reports
  • Lead the annual audit process and quarterly and annual budgeting process
  • Administer all financial plans and budgets; monitor progress and changes; and keep the Leadership Team informed of the organizations ongoing financial status
  • Manage organizational cash flow and forecasting and have oversight over all bank accounts and investment vehicles to maintain adequate working capital and return
  • Provide financial information to meet the needs of managers, including customized financial reports, costing templates, trend analysis, etc.
  • Work collaboratively with payroll vendor to prepare and input payroll, including distribution and reporting processes; calculation of wages, overtime and deductions; and the maintenance of on-site employee records to ensure compliance with applicable regulations
  • Oversee the contract billing and collection schedule
  • Ensure compliance with Federal, State, local and any other financial, tax reporting and regulatory requirements
  • Maintain adequate insurance coverage to meet the changing needs of the organization
  • Implement a robust contracts management and financial management/reporting system
  • Provide consistent rolling forecasts and forward visibility on key performance indicators (KPIs)
  • Provide support to Human Resources and Operations
  • Work closely with the COO and CEO to communicate capital management to the Board and shareholders while also contributing to any new capital formation efforts

Requirements

  • Bachelor's Degree in Accounting, Finance or Business Administration.
  • 5-7 years in financial administration with progressive growth in responsibility.
  • Prior responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, preferably in a SaaS company.
  • Solid understanding of SaaS revenue recognition.
  • Ability to translate financial concepts to and effectively collaborate with programmatic and fundraising colleagues who do not necessarily have finance backgrounds.
  • Technology savvy with experience selecting and overseeing accounting software installations and managing relationships with accounting software vendors; knowledge of accounting and reporting software.
  • A successful track record in setting and successfully executing on priorities.
  • Ability to multi-task and have an impact on many parts of the organization.
  • Keen analytic, organization and problem-solving skills that support and enable decision making.
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate and work with a variety of internal and external stakeholders in a multicultural environment.

VIEW JOBS 11/14/2018 12:00:00 AM 2019-02-12T00:00 Overview Brief Job Description (essential functions of the job): Under the direction of the Chief of Arts & Culture, the Director of Administration and Finance manages day-to-day administration and finances of the Mayor's Office of Arts & Culture. Responsibilities Finance and Budget: * Oversees the preparation of the annual departmental budget request, provides strategic leadership in shaping department's annual budget and grant-making. Ensures problems are resolved effectively. Develops and documents business procedures. Represents the department on budgetary, grant-making or grant compliance matters in a variety of venues, including City Council hearings. Performs other related duties as required. * Ensures that all information necessary to make fiscal allocations and decisions is supplied to the Chief of Arts and Culture. Interprets and ensures adherence to all approved rules and regulations. Ensures department program directors have clear understanding of approved allocations and invoicing procedures, and that all activities stay with budgeted amounts. * Issues purchase orders for services and requisitions for goods (using BAIS Financials) including updates to vendor profiles, communicates with vendors as required, prepares written quote contracts as required, prepares annual contracts as required. * Prepares and maintains department's payroll utilizing PeopleSoft BAIS HRMS as well as provides personnel support services to department staff including the preparation and processing of job postings and new appointments, record keeping and time-sheets, distributing Human Resources updates to staff, and other HR duties as required. Grant Management: * Serves as the principal liaison with the Massachusetts Cultural Council on issues related to budget allocations to the Boston Cultural Council, reporting on grant making, and following MCC guidelines. * Ensures that grant applicant queries and recipients' reimbursements are handled efficiently and accurately, maintains accurate records of grants paid through the BCC as well as grant-making via other areas of the department. * Coordinates grant-seeking of the department, including maintaining accurate records of all grants received, compliance with grant application and reporting requirements, and assistance to department staff on budgeting and spending funds. Performs related work as required. Minimum Entrance Qualifications * At least four (4) years of full-time, or equivalent part-time, experience in office administration or management, accounting, and financial reporting with a concentration in basic accounting and record keeping. * An undergraduate degree with a major in business administration, public administration, or business management may be substituted for the required experience on the basis of one year of such education for six months of the required experience. * Ability to communicate effectively orally and in writing; to collect and analyze financial data; to prepare reports with findings and recommendations. * Ability to establish and maintain effective working relationships with colleagues, vendors, employees in other departments and external agencies. * Demonstrated ability with software such as Microsoft Office, including Word and Excel. * Proficiency in software such as PeopleSoft BAIS Financials and Human Capital Management strongly preferred. * Ability to exercise good judgment and focus on detail as required by the job.
