Responsibilities:

  • Manage the daily operations of OSP. Develop and update department policies and procedures to streamline processes, ensure compliance with internal controls, and alignment with organizationalchanges. Troubleshoot grant administrative issues and provide guidance to fundraising and program staff for externally funded projects throughout all components of award life cycle. Promote sponsored program services through marketing and training, which includesmanaging content updates on OSP dimension intranet webpage. Supervise staff and volunteers.

  • Manage Human Subjects Research (HSR) Protections and HIPAA compliance programs. Maintain and update HSR and HIPAA policies and procedures in collaboration with Legal. Serve as in-housepoint of contact and provide technical assistance for research compliance and HIPAA-related matters. Coordinate and serve on HIPAA Oversight Committee, assist with investigation of breach notifications, and provide support for internal risk assessments. MaintainFederalwide Assurance (FWA), IRB Authorization Agreements, and central repository of all HSR- and HIPAA-documents. Track and monitor compliance with HSR CITI and HIPAA staff training requirements

  • Serve as Project Manager for all OSP data. This includes tracking, reporting and analysis of all restricted funding activity (federal, foundation, and corporate). Responsible for ensuringthe data is accurate and routinely updated to reflect current status. Provide activity reports for management as needed.

  • Manage pre-award activities of Office of Sponsored Programs. Provide guidance and support services to markets and national office departments throughout grant development process. Tasks include but are not limited to: prospect research, interpretation ofsponsor guidelines, assessment of eligibility and mission/program match, proposal and budget development in line with federal regulations and internal policies, coordination of internal pre-submission clearance and proposal approval process, coordination oflarge collaborative external funding proposals, packaging and submission of federal grant proposals and assurances as Authorized Organizational Representative (AOR).

  • Manage post-award non-financial administrative activities of restricted awards for Office of Sponsored Programs. Includes working with PIs, program staff, Finance and Legal to coordinateproject setup, procurement, subcontracts, project tracking and reporting, and sub-recipient monitoring. Work with project teams and Finance staff on grant account reconciliation to ensure project expenditures are within budget and in compliance with donorguidelines and/or federal regulations such as Uniform Guidance, FAR and MOD institutional policies. Respond to single audit inquiries. Manage and coordinate administrative aspects of federal grant awards including work plan and budget revisions and submissions,tracking and reporting via federal grant systems, continuation applications and closeout.

Position Qualifications

Qualifications:

  • Advanced knowledge of the structure, operations and requirements of federal, state, and local regulations specifically HIPPA and Human Subjects Administration.

  • 5-7 years experience

  • Four year college degree or equivalent experience

  • Comprehensive knowledge and understanding of pre-award and post-award procedures and requirements.

  • Comprehensive knowledge and understanding of program prospecting procedures and requirements

  • Understanding of Uniform Guidance, 2 CFR 200, related to Federal funding

  • CRA (Certified Research Administrator) or Certified Pre-Award Research Administrator (CPRA) is highly recommended This certification is not required for this job, but advanced professional training through organizations such as SRA, NCURA or GPA is lookedfavorably upon.

  • Demonstrated experience handling multiple projects and tasks.

  • Strong interpersonal and communication skills and the ability to work effectively in a collaborative environment.

Responsibilities: * Manages the reception area to maintain access control and ensure effective telephone and mail communications both internally and externally. * Supervises the maintenance of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. This includes conference rooms, kitchen, reception area, and supply closets. * Supervises the maintenance of office equipment, including copier, fax machine, etc. * Manages CEO's calendar to include scheduling and managing complex activities such a meetings, conferences and department activities. * Acts as a liaison with other departments and outside agencies, including high-level staff. * Handles confidential and non-routine information and explains policies when necessary. * Works independently and within a team on special nonrecurring and ongoing projects. * Assists with ordering and inventory of groceries and office equipment/materials. Qualifications: * At least two years of previous experience in office management. Experience providing support to executive-level leadership preferred. * Proficient in Microsoft Office 365. Experience managing calendars using Microsoft Outlook required. * Very strong interpersonal skills and the ability to build relationships with stakeholders, including the management team, staff, and external partners. * Good written and verbal communication skills.
