The University of Tennessee College of Architecture and Design invites applications for the position of Director of Space and Facilities.

The College of Architecture and Design (CoAD) is one of 14 academic colleges at the University of Tennessee, Knoxville, a Research-1, land-grant university that houses 900 programs of study. CoAD is situated in both the award-winning Art

Architecture Building on the UTK campus and the FabLab, which is a 20,000 square-foot facility located in town on North Gay Street. The college is currently poised to undertake an historic expansion which will extend CoAD's footprint to two additional buildings located close to the FabLab in Knoxville's Old City. The Director of Space and Facilities will play an integral role in managing these locations to maximize the mission-driven use of all space and facilities assets.

The College of Architecture and Design promotes imagination, curiosity, and empathy as we advocate for the power of design and catalyze the importance of the built world. We are committed to excellence in design education, research, creative scholarly activity, and outreach missions. The college is comprised of Schools of Architecture, Design, Interior Architecture, and Landscape Architecture. These four schools contribute to an engaged community of 740 undergraduate and graduate students, 50 full-time faculty, 15 part-time faculty, and 22 members of the administrative staff. The Director of Space and Facilities will join a dynamic team working in a fluid and fast-paced environment. The entire CoAD staff shares the dean's mission to make design education as vivid as possible.

Director of Space and Facilities Duties

Major Renovations

  • Works with UTK Facilities Services, UT Capital Projects, college, schools, and consultants to develop programming, funding requests, and detailed design for major renovations and new construction projects.

  • Acts as a liaison between college/school stakeholders, project managers and consultants/contractors during renovation or construction.

  • Assists stakeholders in planning for pre- or post-renovation/construction moves, as well as helping with documentation and resolution of problems detected during project warranty period.

Minor Renovations and Repairs

  • Takes lead with departments and UTK Facilities Services in designing, planning and carrying out renovations of department or college-controlled rooms, including laboratories, studios, offices and instructional labs. Acts as overall project manager of all renovations and repairs.

  • Oversees all facilities design build projects, including supervision of all student work related to said projects.

  • Meets with faculty and staff to determine extent of needs, assists with cost estimates, participates in project meetings, and reports on progress.

  • Assists UTK Facilities Services and departments in scheduling utility or access outages, so that critical research and teaching operations experience minimal interruption.

  • Represents the college in responses to damaging events, like unscheduled power outages, water leaks and storm damage, occasionally inspecting damage and providing information to UTK Facilities Services and stakeholders.

  • Assists departments in submitting insurance claims to Risk Management, as needed.

Space Management

  • Conducts weekly building inspections of all CoAD spaces to determine maintenance needs, cleanliness status, and major systems status, and requests assistance via the UTK Facilities Services Archibus system.

  • Plans and implements the set-up of studio and classroom spaces for the start of each semester.

  • Establishes, communicates, and manages multipurpose spaces such that faculty, staff and students understand how to reset a space after each use.

  • Manages and tracks all furniture and furniture needs across the college.

  • Oversees college and department response to annual Space Survey, providing training for department staff as needed.

  • Conducts studies and analysis on space utilization in college and provides recommendations on how to assess and improve efficiency.

  • Acts as overall building manager for off-site college office and instructional locations in downtown Knoxville.

  • Manages college facilities budget covering maintenance, repairs, and upgrades of instructional, administrative, and faculty office space.

  • Represents the college in working with external vendors (e.g. janitorial, security, etc.) to ensure building standards are maintained.

Other Duties

  • Represents college in meetings with UTK Facilities Services, UTK Space Committee, and others when needed.

  • Works with UT Emergency Management to develop and update Building Emergency Action Plans (BEAP), and trains other staff in this context, as needed.

  • Coordinates with UT Environmental Health & Safety (EHS) on all space and facilities issues.

  • Directly supervises all facilities student workers.

  • Other duties as assigned by the Dean and the Director of Finance and Administration.

Knowledge, Skills, and Abilities

Required

  • Possess excellent customer service attitude and skills.

  • Possess effective writing and verbal communication skills.

  • Ability to be self-motivated with a high level of confidence.

  • Experience working as a designer and/or in an environment of design excellence.

  • Very strong skills with graphics packages, presentation software, and web-based applications related to space and facilities.

  • Ability to effectively plan, organize, and track multiple complex projects simultaneously while not creating bottlenecks or delays in project plans.

  • Ability to resolve questions or problems within established policies and procedures.

  • Ability to understand building/room types and uses, space management procedures, and priorities in higher education.

  • Ability to advise, report and/or manage renovation and construction timetables and budgets.

  • Ability to resolve renovation/repair/construction conflicts across process stakeholders.

  • Ability to be detail oriented.

Preferred

  • Knowledge of construction management techniques and principles.

  • Familiarity with ADA building requirements and other regulatory requirements (i.e. fire code, etc.).

  • General knowledge of trade skills such as electrical, plumbing and HVAC systems.

  • Familiarity with the UTK Facilities Services Archibus system

Experience

Required

  • Bachelors degree and Three or more years' experience in one or more aspects of space management, building maintenance, renovation or construction management, or project budgeting.

Preferred

  • Five or more years' experience in the above-mentioned roles, including meaningful experience with strategic planning related to space and facilities problems.

  • Experience dealing with university or college administrators.

  • Project management experience.
