About the role

Zillow is looking for a focused, effective, and agile facilities manager for our Seattle office.

This position is responsible both day to day and strategic management of our Seattle facilities team as well as all maintenance, janitorial, shipping services and other operational programs. Manages and develops a staff of 8 (and growing) encompassing diverse levels of experience and responsibilities. Develops and implements strategic plans and programs responsive to present and anticipated service and staffing requirements. Formulates and monitors company facility standards. Responsible for developing budgets and long-range facilities plans based on company growth and future facility's needs. Monitors budgets and approves contracts and purchases.

About the role

This position establishes strong relationships and communication within all levels of the local office including senior leadership. The successful Facilities Manager manages day to day facilities operations including janitorial, HVAC, electrical, food service, and general maintenance for 240,000+ sqft of office space housing a diverse population of disciplines and team needs.

The ideal candidate will successfully oversee facilities operations budgets, manage moves, adds, and changes, as well as provide strategic and day to day vendor management for operations, supplies, and services. They will establish, implement, and monitor team and office policies and procedures, including security, emergency response and safety programs.

Additionally, the facilities manager liaisons with property management for operations and maintenance issues, as well assists with and/or leads special projects, including new construction, office refurbishments, and major maintenance initiatives.

Experience leading a Facilities team in a fast paced, fast changing, and demanding office environment a must.

Who you are

  • 5+ years of facilities or operations management

  • Fluent in MS Office applications (Outlook, Word, Excel), ticketing systems, and FM systems

  • Strong customer service skills and the ability to deal with the public, staff, and executives in a courteous, pleasant, and professional manner

  • Excellent organizational skills

  • Ability to both give and follow direction and set priorities

  • Strong verbal and written communication skills

  • Ability to multi-task in a fast-paced, demanding environment

  • You must be able to lift 25-30 lbs and push loaded wheel cart

  • Your duties may require being on-call periodically and working outside normal working hours (evenings and weekends)

You will be working in an office environment while sitting at a desk or computer table and it requires the ability to utilize computer communicate over the telephone and read printed material

Service Delivery * Manage the site/s in accordance with all agreed policies, procedures and contract scope. * Assist with the development and implementation of the annual management plan for the building/s. * Identify opportunities for improved operation to drive efficiencies (process and cost) and make recommendations to the area manager for consideration. * Responsible for mechanical, electrical, plumbing, carpentry, critical systems, HVAC, generator and others defined within the portfolio of respective sites. * Ensure compliance with all health and safety, environment and risk management policies and procedures that relate to the site/s. * Manage repairs and maintenance, minor works and other requests, tracking to completion. * Support the move team during building moves, adds, and changes by attending site as required and acting as the building key point of contact/escalation. * Manage vendor performance ensuring services are delivered in accordance with the contract and to agreed standards. Document and escalate instances of poor performance. * Coordinate internally with other teams which may include fitness, food services, massage, transportation, security and capital projects. * Lead projects for small scale construction activities. * Support the sourcing SME and area managers through the vendor contract procurement process. * Deliver portfolio management reports as required under the agreement with the client, and as requested. Finance Management / Cost Control / Profitability * Achieve or exceed financial targets and ensure effective, efficient and economic operation of assigned responsibilities. * Ensure that operational expenditure for the site/s is managed within agreed budgets and identify efficiencies where possible. * Manage the annual budgeting and quarterly forecasting processes for the site/s under your management. * Prepare current financial year budget spend reports (actual vs. budget, variance etc.). * Manage payments to vendors where applicable, using available systems, complying with all relevant policies and procedures. * Help to develop and approve the annual capital plan for each building, interfacing closely with the client representative * Ensure compliance within delegated financial and contractual authorities.
