05-Sep-2018 Manager, Events Operations 1724BR Regular Full Time Job Function and Responsibilities The Manager, Events Operations contributes to the success of the Chicago Zoological Society ( CZS ) through management of the operational aspects of all catered events.
Oversees all logistics including site arrangements and banquet financial aspects relating to operational expenses for the department in support of a sustainable future and to provide an exceptional guest experience.
Primary duties and responsibilities: Primary management responsibility for all areas of the catering event operations including staffing and planning.
Oversee all scheduled events, meet with banquet staff prior to events to ensure all details are arranged, review Banquet Event Orders with Banquet Captains, Sales Managers and Chefs to coordinate projects and ensure events are successful.
Establish and reinforce first-class service, set-up, and departmental standard operating procedures.
Keep management informed of all emergent issues within the department.
Manages assigned staff, including selection, job assignments, training and development, counseling, performance appraisal, salary recommendations, promotional opportunities, discipline and separation actions, and recognition actions in order to assure success in functional area of expertise and proficiency at coordinating flawless events.
Coordinate with banquet staff who are responsible for start-to-finish coordination of all event logistics including entertainment, catering, site arrangements, etc., to assure overall success of the respective operation.
Work closely with Catered Events Sales Managers to maximize efficient and cost-effective use of space.
Monitors and implements plans within assigned budgets.
Oversee financial aspects of operations, seasonal wages, contract services, operating supplies, uniforms, equipment purchases, beverage cost, lease, repairs, etc.
Analyze and review monthly Profit & Loss statements with respective managers.
Plan, direct, control, evaluate, and report to management departmental activities.
Coordinate Catered Events operations with other CZS departments as necessary.
Maintain good working relationships with all CZS departments.
Develop and implement actions to improve workplace culture with an emphasis on driving results and fostering inclusion.
Actively lead employee engagement, talent development, recruitment, and retention initiatives.
Leverage organizational resources (training and development-CZS University, performance management systems, employee surveys, regular communications vehicles, staff meetings, etc.) to drive continuous improvement and positive outcomes.
Other related duties as assigned.
Position Requirements and Specifications The requirements for this position include the following: High school diploma or (GED) equivalent required.
Bachelors degree in Business Administration, Hotel & Restaurant Management, or other related field and five years relevant experience in hotel, banquet, or special events management.
In lieu of a degree, eight years of relevant experience is required.
Two years relevant supervisory experience required.
Strong customer service skills and orientation.
Strong management and organizational skills in a team-oriented environment.
Strong communications, coaching, motivational, and interpersonal skills.
Strong ability to prioritize and successfully execute multiple activities simultaneously, and deliver in terms of execution.
Experience successfully coordinating multiple projects and activities.
Ability to work effectively under pressure and meet strict deadlines.
Good figure aptitude; prior experience working with budgets.
English fluency at professional working proficiency required.
Cultural competency; experience and/or ability to work and interact effectively with a diverse, multicultural audience.
A valid drivers license is required.
The preferred qualifications: Experience in Cultural Institution or Non-For-Profit a plus.
Multilingual ability, Spanish fluency a plus.
