Job Description

The College of Integrative Sciences and Arts (CISA) Dean's Office is seeking a Manager of Academic Personnel to join our team on the Polytechnic campus. In this role, you will report to the Associate Director of People and Talent and will work closely with Associate Deans, School Directors, and other stakeholders to support, coordinate, and manage all facets of academic personnel including annual evaluations, review, promotion and tenure, and faculty recruitment and hiring. In this role, you will serve as the primary contact for all academic personnel matters.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.

  • Ability to clearly communicate to perform essential functions; Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, copier, and associated computer/technology peripherals

  • This position receives regular review of objectives by department administrator.

  • Hybrid work is an option for CISA employees. Hybrid arrangements allow employees to spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or Provost level approval is required.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Nine (9) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience in higher education, preferably in an academic unit.

  • Experience working effectively with a variety of constituents, in an environment subject to changing priorities, sensitive/confidential information and demanding deadlines.

  • Experience in developing and maintaining cooperative working relationships both within and across organizational areas.

Essential Duties

  • Assist faculty leadership with developing and communicating college-level directives and procedures for academic personnel policies, processes, and best practices; work collaboratively with administrators and staff to ensure compliance with University policies and procedures.

  • Serve as the primary resource to deans, school directors, search committees, faculty, and staff on matters related to tenured and tenure-eligible, career-track, adjunct and contingent faculty, academic professionals, and postdoctoral scholars.

  • Monitor and support the annual review process for faculty in coordination with affiliated academic personnel in the schools.

  • Maintain and continue to build effective working relationships with personnel affiliated with academic personnel issues including school personnel, CISA HR team, CISA financial team, dean's executive assistant, and the Office of the University Provost.

  • Coordinate and assist in the development and implementation of internal processes for the college; develop and maintain spreadsheets, databases, and prepare routine and specialized reports; independently research and prioritize issues; determine appropriate course of action, referral, and/or response; exercise autonomy and decision-making authority related to project management.

  • Assist faculty leadership in college-wide faculty recruitment and hiring -- both targeted and competitive -- including preparing/proofing/archiving search materials, communicating with schools on procedure and status, coordinating administrative approvals, and drafting offer letters.

  • Provide highest level of customer service when consulting with and guiding faculty leadership and staff administrators on matters related to academic policies and procedures.

  • Perform all other academic personnel actions as needed including but not limited to promotion and tenure, research faculty, postdocs, visiting scholars, endowed professors, affiliate and adjunct faculty, joint appointments.

  • Monitor and track status of various academic personnel items within schools and Dean's Office and adhere to published deadlines.

  • Attend regular team meetings with faculty leadership and academic personnel administrators.

  • Collaborate with CISA HR team on all faculty related matters.

  • Mentor staff on academic personnel processes.

  • Supervises, trains, and evaluates assigned staff; monitors work in progress and upon completion; implements corrective action as required.

  • Other duties and special projects as assigned.
