Job Description

Reporting to the Director of Production Management, the Production Manager is a key contributor to the team, ensuring the efficient delivery of projects and initiatives by managing expectations, activating project deliverables, providing status updates and fielding feedback. In this role, the selected candidate will work closely with the Sr. Director of Creative and Brand Strategy for Sun Devil Athletics as well as the Director of ASU Thrive Magazine.

The Production Manager is critical in ensuring deadlines for projects are met through the alignment of cross-functional initiatives, managing production schedules, and coordinating creative teams. This role will routinely attend meetings, and prepare follow-up and status reports that clearly capture the essence of production meetings. The production manager will routinely use established project management and filing systems and multiple communication channels to ensure projects are visible, have actionable direction and key stakeholders are aware of any roadblocks.

This candidate should be comfortable with taking new ideas and seeing them through to completion while maintaining strong relationships to ensure that the teams are moving forward toward a common goal. The successful candidate for this role will be an adaptable team player who is highly organized and detail-oriented and thrives in a fast-paced, constantly changing, deadline-driven environment.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. Must clearly communicate to perform essential functions. Drive ASU vehicle to and from events. Lift and carry up to 25 lbs. May need to work weekends, weeknights, and holidays.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Nine (9) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience organizing and scheduling project workflow and assigning tasks in project management system
  • Experience working one of the following: an established brand, university setting, hospitality or in an event driven environment.
  • Experience in making and communicating decisions in a complex, matrixed environment
  • Experience in work that requires to be organized and detail-oriented with a focus on process efficiency
  • Previous experience working in a fast-paced environment and coordinating multiple projects at once
  • The ability to remain flexible and responsive to new ideas, projects
  • Experience working with project management tools and defined processes (from project intake to reporting)
  • Experience building and maintaining positive professional relationships
  • Experience writing advertising and marketing strategy for complex, integrated projects
  • Experience using MS Office, Google Docs, and Adobe Creative Suite (Adobe InDesign, Photoshop, and Illustrator)

Essential Duties

  • Serve as the primary production manager across work involving Sun Devil Athletics and the ASU Thrive magazine, acting as a trusted partner to these units.
  • Collaborate with senior leadership to define and execute high-level campaign strategies that align with business objectives and long-term brand growth.
  • Builds relationships across the university by being responsive to stakeholder needs.
  • Connecting the dots across other related initiatives, assets, projects and orchestrating conversations to improve visibility and efficiency.
  • Coordinates complex processes, timelines and workflows with team members, staff from other units and vendors.
  • Proactively identifies or implements with leadership guidance areas for improvement in workflow and processes and partners with others to optimize.
  • Manage incoming project requests on a daily basis.
  • Build project schedules, tasks, workflows, timelines and approvals in project management system.
  • Provides administrative support including keeping meeting notes, following up on important action items and ensure documentation is maintained throughout the project.
  • Report on projects and deadlines on a daily, weekly, monthly, quarterly and annual basis.
  • Monitor project management system, making sure scheduled tasks reflect accurate updates and deadlines in accordance to creative workbooks.
  • Effectively communicates with all levels of staff and partners, is comfortable asking questions and seeking clarification, and routinely reports on progress and follow-through.
  • Coordinate the production and timelines with the Director of ASU Thrive magazine, ensuring seamless collaboration across teams.
  • Partners with staff inside of Sun Devil Athletics to ensure projects are documented and executed in a timely manner.
  • Contribute to presentations and reports that bring ideas to life by applying mastery of templates, fundamental design techniques, and writing and proofreading skills. Must master Google Suite.
  • May be called upon in rare circumstances to provide on-site coordination and support during special events related to Athletics and magazine-related activities.
  • May manage and mentor student workers.
  • Perform other duties as assigned.

$60,000 - $70,000 per year; DOE
